Sales Assistant (CRM, Scheduling & Sales Operations Support) – Remote Position Type: Full-Time, Remote Working Hours: U.S. Business Hours About the Role At Pavago, one of our clients is hiring a highly organized and execution-focused Sales Assistant to support a fast-moving sales team across CRM management, scheduling, follow-ups, proposals, reporting, and day-to-day sales operations. This is not a direct selling role . Your job is to make sure the sales team stays organized, pipeline information remains accurate, meetings and follow-ups happen on time, and deals continue moving without administrative bottlenecks. You’ll support: CRM and pipeline management Sales scheduling and calendar coordination Follow-up communication Proposal and sales document preparation Reporting and KPI tracking Cross-functional coordination Day-to-day sales operations If you enjoy keeping systems organized, supporting revenue teams, and making sure nothing falls through the cracks, this role is a strong fit. What You’ll Own CRM Management & Pipeline Support Maintain accurate sales records within CRM platforms such as: Salesforce HubSpot Zoho CRM Pipedrive You will: Create and update leads, contacts, and opportunities. Maintain accurate pipeline stages and activity notes. Log sales activities and follow-up information. Remove duplicate or outdated records. Maintain strong CRM hygiene and data accuracy. Ensure sales representatives and leadership have reliable pipeline visibility. Support consistent CRM processes across the sales team. Scheduling & Calendar Coordination Coordinate: Discovery and sales calls Product demos Follow-up meetings Client meetings Internal sales meetings Use tools such as: Google Calendar Microsoft Outlook Calendly Manage scheduling across multiple time zones, send confirmations and reminders, handle rescheduling, and ensure meetings are properly organized. Before meetings, help sales representatives stay prepared with relevant context, agendas, notes, and supporting materials. Sales Follow-Up & Communication Support timely communication throughout the sales process by: Drafting professional follow-up emails. Sending meeting confirmations and reminders. Preparing meeting summaries and next-step communications. Tracking outstanding follow-ups. Coordinating responses to inbound leads. Routing inquiries to the appropriate sales representative. Ensuring important prospect communication does not get missed. Proposal & Sales Document Preparation Prepare, format, proofread, and organize: Sales proposals Quotes Presentations Sales decks Client-facing documents RFP and RFI responses Use approved templates and materials to produce polished, accurate documents using tools such as: Google Slides Microsoft PowerPoint Canva Maintain strong version control and organized document storage. Reporting & Sales Performance Tracking Prepare recurring sales reports including: Weekly pipeline reports Sales activity updates KPI trackers Pipeline dashboards Conversion reports Track metrics such as: Pipeline activity Deal progression Conversion rates Sales activities Follow-up completion Other sales performance indicators Ensure reports are accurate, organized, and delivered on time so leadership has clear visibility into sales performance. Sales Operations Support Help keep the overall sales workflow organized by: Tracking open tasks and next steps. Maintaining sales documentation. Supporting lead routing. Coordinating internal handoffs. Following up on outstanding action items. Identifying missing information or operational gaps. Helping sales representatives stay focused on selling rather than administrative work. Cross-Functional Coordination Collaborate with: Sales Marketing Operations Finance Leadership Track handoffs and task ownership between departments. Ensure information moves accurately between teams and help prevent delays caused by missed communication or incomplete follow-through. Required Experience & Skills Must-Have 1–2+ years of experience in: Sales support Sales administration Administrative support Operations coordination Sales operations Hands-on experience with at least one CRM platform such as: Salesforce HubSpot Zoho CRM Pipedrive Strong scheduling and calendar management skills. Experience coordinating meetings across multiple calendars or time zones. Proficiency with Google Workspace and Microsoft Office. Strong written and verbal English communication. Excellent attention to detail. Strong organizational and multitasking ability. Ability to manage multiple priorities and deadlines. Comfortable working independently in a remote environment. Availability to work U.S. business hours. Nice-to-Have Experience Experience preparing proposals, presentations, or sales decks. Experience supporting SDRs, BDRs, Account Executives, or sales leadership. Familiarity with B2B sales pipelines and sales processes. Experience in: B2B SaaS Recruiting Marketing agencies Professional services Basic to intermediate Excel or Google Sheets skills. Experience with: Pivot tables Dashboards Tracking reports Sales KPI reporting Experience with lead routing and sales handoffs. What a Typical Day Looks Like A Sales Assistant’s day may include: Reviewing and updating CRM records. Checking pipeline data for missing or inaccurate information. Scheduling prospect calls and product demos. Sending meeting confirmations and reminders. Preparing a proposal for an Account Executive. Drafting follow-up emails after sales meetings. Updating opportunity stages and next steps. Preparing a weekly pipeline report. Coordinating an internal handoff for a progressing deal. Following up on outstanding sales action items.
