Role summary The HR & Payroll Administrator will provide comprehensive HR, payroll, compensation and benefits, and related finance administration support across the company’s operations in the UK, Germany, Hong Kong, Indonesia, Malaysia, and Singapore. The role will be responsible for ensuring accurate and timely payroll processing, statutory compliance, employee lifecycle administration, tax-related matters, and coordination with external payroll vendors and government authorities. This role requires strong attention to detail, good organisational skills, confidentiality, and the ability to manage multiple payroll and HR requirements across different countries and regulatory environments. Job Responsibilities: HR Administration Manage employee onboarding and offboarding processes, ensuring all required documentation and procedures are completed accurately and on time. Handle general employee enquiries and provide support on basic HR and employee relations matters. Maintain accurate and up-to-date employee records and HR documentation. Coordinate employee exits, including the return of company equipment and completion of exit-related requirements. Payroll, Compensation & Benefits Manage and coordinate payroll administration for UK, Germany, Hong Kong, Indonesia, Malaysia and Singapore. Ensure compliance with applicable statutory and regulatory requirements in each country. Review payroll reports and verify payroll accuracy, including employee changes, allowances, deductions and statutory contributions. Prepare monthly payroll variance reports for review and CFO approval. Coordinate annual income tax verification, reporting and related payroll tax requirements for Hong Kong, Indonesia, Malaysia and Singapore. Prepare and submit statutory contributions and payments, including CPF, EPF, SOCSO, EIS, HRD Corp/HRDF and Zakat, where applicable. Prepare and coordinate documentation for Singapore government-supported leave schemes, including childcare leave and national service-related matters. Monitor statutory and payroll deadlines to ensure timely submission and payment. Prepare and circulate employee communications relating to office closures and public holidays. Finance & Payroll Support Review and verify employee expense claims in Zoho Expenses in accordance with company policies. Review HR and payroll-related vendor invoices and coordinate with Finance for processing and payment. Prepare monthly payroll journals for the UK, Hong Kong, Indonesia, Malaysia and Singapore. Work closely with Finance and external payroll vendors to resolve payroll, payment, and accounting-related queries. Compliance & General Administration Maintain confidentiality and ensure proper handling of employee payroll and personal information. Ensure HR and payroll documentation is properly maintained and available for audit or compliance purposes. Keep up to date with relevant employment, payroll, tax and statutory requirements across the countries supported. Support other HR, payroll and administrative activities as required. Qualifications & Required Skills: Diploma or Bachelor’s Degree in Human Resources, Accounting, Finance or a related field. 3–5 years of relevant experience in HR administration, payroll administration, compensation & benefits, or a similar role. Hands-on experience in payroll processing and statutory compliance, preferably across multiple countries. Good understanding of employment, payroll, tax and statutory requirements in Malaysia; experience with other countries such as Singapore, Hong Kong, Indonesia, Germany or the UK will be an advantage. Strong attention to detail and accuracy, particularly when handling payroll, employee data and statutory submissions. Good numerical and analytical skills with the ability to review payroll reports, identify discrepancies and prepare payroll variance reports. Proficient in Microsoft Excel and Microsoft Office applications; experience with HRIS, payroll systems and expense management platforms such as Payroll2u and Zoho Expenses is an advantage. Good organisational and time-management skills, with the ability to manage multiple deadlines across different countries. Strong communication and interpersonal skills, with the ability to work effectively with employees, management, Finance, payroll vendors and government authorities. Able to handle confidential employee, payroll and compensation information with a high level of discretion. Self-motivated, independent and proactive, with the ability to work with minimal supervision. Strong problem-solving skills and a willingness to learn and adapt to different country-specific payroll and HR requirements. Good command of written and spoken English.
