Sales Assistant – CRM, Sales Support & Pipeline Coordination Position Type: Full-Time, Remote Working Hours: U.S. Business Hours About the Role At Pavago, one of our clients is hiring a Sales Assistant to support day-to-day sales operations, CRM management, scheduling, pipeline coordination, reporting, proposals, and client communication. This is a hands-on sales support role designed to keep the sales process organized and moving forward so Account Executives and sales leaders can focus on selling, closing deals, and building client relationships . You’ll maintain CRM accuracy, coordinate meetings and follow-ups, prepare sales materials, track pipeline activity, and ensure no lead, task, or opportunity falls through the cracks. What You’ll Own CRM Management & Pipeline Support Maintain accurate records for leads, contacts, deals, and opportunities Update pipeline stages, activity notes, next steps, and follow-up tasks Work within CRM platforms such as HubSpot, Salesforce, Zoho, or Pipedrive Identify and clean duplicate, incomplete, or outdated CRM records Maintain strong CRM hygiene and pipeline visibility Ensure sales activities and next steps are properly documented Flag stalled opportunities and overdue follow-ups Scheduling & Sales Coordination Schedule discovery calls, sales meetings, product demos, and follow-ups Coordinate calendars across multiple time zones Manage scheduling through Google Calendar, Outlook, Calendly, or similar tools Handle confirmations, reminders, reschedules, and calendar changes Ensure sales representatives have the necessary context and materials before meetings Keep follow-ups and next steps moving on schedule Proposals & Sales Documentation Draft, format, proofread, and organize: Proposals Quotes Presentations Sales collateral Client-facing documents Support RFP and RFI preparation when required Create polished materials using Google Slides, PowerPoint, Canva, or similar tools Maintain organized records of contracts and sales documentation Ensure client-facing materials are accurate and professional Sales Reporting & Pipeline Tracking Prepare weekly and monthly sales reports Maintain pipeline summaries and leadership dashboards Track: Pipeline movement Sales activity Conversion rates Follow-up completion Assist with sales forecasting and operational reporting Keep reporting data accurate, organized, and accessible Provide leadership with clear visibility into pipeline activity Client Communication & Follow-Up Draft professional follow-up emails, meeting recaps, reminders, and client communications Support inbound lead routing and prospect coordination Track outstanding follow-ups and ensure timely completion Coordinate communication between prospects, sales representatives, and internal teams Maintain a professional customer experience throughout the sales process Cross-Functional Coordination Collaborate with Sales, Marketing, Finance, and Operations Coordinate contracts, approvals, documentation, and internal handoffs Support smooth transitions from prospect to customer onboarding Track outstanding internal requirements and task ownership Identify and help resolve administrative bottlenecks affecting deal progression Requirements 1–2+ years of experience in sales support, sales coordination, administrative support, or operations Hands-on experience with CRM platforms such as: HubSpot Salesforce Zoho Pipedrive Strong proficiency with Google Workspace or Microsoft Office Experience coordinating meetings, calendars, and sales follow-ups Excellent written English communication skills Strong attention to detail and organizational ability Ability to manage multiple tasks, deadlines, and priorities Strong follow-through and accountability Comfortable working independently in a remote environment Availability during U.S. business hours Nice to Have Experience supporting B2B sales teams or Account Executives Experience preparing proposals, quotes, or sales presentations Familiarity with SDR/BDR and lead-generation workflows Experience in SaaS, agencies, professional services, or other sales-driven businesses Excel or Google Sheets experience with pivot tables, dashboards, and KPI tracking Familiarity with sales forecasting and pipeline reporting Tools & Platforms HubSpot | Salesforce | Zoho | Pipedrive | Google Workspace | Microsoft Office | Calendly | Google Slides | PowerPoint | Canva | Excel / Google Sheets What Makes You a Strong Fit You’ll thrive in this role if you: Are highly organized and naturally detail-oriented Proactively follow up instead of waiting for reminders Enjoy keeping CRMs, calendars, and pipelines organized Communicate clearly and professionally Can manage multiple priorities without sacrificing accuracy Take ownership of tasks through completion Thrive in fast-paced, sales-driven environments Enjoy helping sales teams operate more efficiently What a Typical Day Looks Like You may start your day by reviewing the CRM for missing information, upcoming meetings, stalled opportunities, and overdue follow-ups. Throughout the day, you’ll coordinate demos and sales calls, prepare proposals and presentations, update pipeline stages, communicate with prospects, maintain reports and dashboards, and ensure Account Executives have everything they need before client conversations. In short: you keep the sales engine organized, accurate, and moving so the sales team can focus on generating revenue.
