Sales Assistant (CRM, Scheduling & Sales Operations Support) – Remote Position Type: Full-Time, Remote Working Hours: U.S. Business Hours About the Role At Pavago, one of our clients is hiring a highly organized and proactive Sales Assistant to support a fast-moving sales team across CRM management, scheduling, follow-ups, proposals, reporting, and sales operations . This is not a direct sales role . Instead, you’ll work behind the scenes to ensure the sales team stays organized, prospects receive timely communication, CRM data remains accurate, and opportunities continue moving through the pipeline. What You’ll Own CRM Management & Pipeline Support Maintain accurate records in CRM platforms such as: Salesforce HubSpot Zoho CRM Pipedrive Update: Leads Contacts Opportunities Pipeline stages Activity notes Identify and clean duplicate, incomplete, or outdated records. Maintain strong CRM hygiene and data accuracy. Ensure sales activity and pipeline status remain visible to the team and leadership. Scheduling & Sales Coordination Schedule: Sales calls Product demos Follow-ups Client meetings Coordinate calendars across multiple time zones. Work with tools such as: Google Calendar Outlook Calendly Manage confirmations, reminders, and scheduling changes. Ensure sales representatives have the right information and materials before meetings. Help keep follow-ups and next steps on schedule. Proposal & Sales Document Support Prepare, format, proofread, and organize: Proposals Quotes Presentations Sales documents Support RFP and RFI responses using existing templates and resources. Create polished sales materials using: Google Slides PowerPoint Canva Maintain organized documentation and version control. Ensure client-facing materials are accurate and professional. Reporting & Pipeline Tracking Prepare: Weekly sales reports Monthly dashboards Pipeline updates Activity summaries Track: Pipeline activity Conversion metrics Sales KPIs Follow-up activity Maintain accurate reporting trackers. Give sales leadership clear visibility into performance and pipeline movement. Communication & Follow-Ups Draft professional: Follow-up emails Meeting summaries Reminders Next-step communications Support inbound lead routing and prospect coordination. Follow up on outstanding actions to prevent opportunities from stalling. Maintain timely and professional communication with prospects, clients, and internal teams. Cross-Functional Coordination Collaborate with: Sales Marketing Finance Operations Leadership Coordinate internal handoffs and approvals. Track task ownership and outstanding requirements. Help prevent communication gaps or operational delays. Support a smooth transition from sales conversations through the next stage of the customer journey.
