Job Summary We are seeking a proactive Sales Admin Executive to support our sales team by managing order processing, coordinating operations, and maintaining accurate sales records to ensure smooth customer service and timely delivery. Responsibilities Prepare quotations, proposals, and follow up with clients to advance sales opportunities in support of Sales Executives Accurately prepare sales orders, invoices, delivery orders, and contracts to facilitate efficient order processing Coordinate with customers to confirm pricing, stock availability, and order status, ensuring clear and timely communication Maintain and update CRM or sales databases with precise client and deal information to support sales tracking and reporting Liaise with Warehouse, Logistics, and Finance teams to ensure timely order fulfillment and delivery Track inventory levels and raise purchase requests with suppliers to maintain adequate stock availability Respond promptly to customer complaints and service requests to resolve issues and maintain customer satisfaction Process claims, returns, and after-sales documentation efficiently to support customer service operations File and maintain sales records, contracts, and customer documentation systematically for easy retrieval and audit Assist with tenders, product catalogues, and marketing materials to support sales and marketing initiatives Perform other ad-hoc administrative duties as assigned to support team operations and business needs Preferred competencies and qualifications Diploma in Business, Marketing, Logistics, or related field 1-2 years of experience in sales administration, customer service, or inside sales; fresh graduates are welcome Proficient in MS Office, especially Excel; experience with QuickBooks, ERP, or CRM systems is a plus Strong organizational and multitasking skills with attention to detail to manage multiple priorities effectively Effective communication skills and customer service orientation to engage clients and internal teams Ability to work efficiently in a fast-paced environment and meet deadlines consistently Other Information Medical benefits and annual leave provided 5-day work week: [9am - 6pm] Career growth opportunities in sales Supportive and collaborative team environment
