As part of its continued growth and professionalization, the company is strengthening its Human Resources function and is looking for an experienced Payroll, Compensation & Benefits Specialist to join the team. Position Summary Reporting to the People, Organisation and HR Operations Director, you will take ownership of payroll administration, compensation & benefits coordination, HR administration and time management processes. You will play a key role in ensuring operational excellence while contributing to the modernization and digitalization of HR processes. Beyond daily payroll and rewards operations, you will own a continuous payroll, compensation & benefits and HR operations development agenda, leading transformation initiatives that modernize practices, streamline processes and strengthen systems in line with the company's growth objectives. Key Responsibilities: Payroll Administration • Coordinate and prepare all payroll-related information for the external payroll provider. • Ensure the accuracy of payroll inputs and employee data. • Manage payroll-related changes, including salary reviews, promotions, departures and retirements. • Coordinate variable compensation elements, commissions and overtime information. • Manage payroll-related communication regarding absences, sick leave and employee lifecycle events. • Perform payroll controls and reconciliations to ensure data accuracy. Compensation & Benefits • Administer employee benefits programs. • Support salary review and compensation benchmarking exercises. • Participate in the development of compensation and benefits policies. • Coordinate bonus and incentive programs. • Monitor market trends and recommend improvements to reward structures. HR Administration • Prepare employment contracts and contractual amendments. • Manage employee files and HR documentation. • Coordinate onboarding and offboarding administration. • Ensure proper documentation and compliance with internal procedures. • Maintain accurate employee records. Time Management • Manage and maintain employee data within the time management system. • Administer absences, vacations, overtime and working-time records. • Ensure accurate integration between time management and payroll processes. • Support managers and employees regarding working-time matters. Process Improvement, Projects & HR Systems • Take ownership of a payroll, compensation & benefits and HR operations improvement roadmap, managing a pipeline of projects focused on the modernization and digitalization of HR processes. • Identify and drive opportunities for automation, process optimization and data-quality improvements across payroll, time management and rewards processes. • Lead or actively support HRIS and systems enhancement projects related to payroll, time management and compensation & benefits. • Develop and improve HR reporting capabilities, ensuring reliable people and rewards data to support decision-making. • Champion continuous improvement initiatives across the HR function, collaborating with stakeholders to enhance organizational effectiveness. Profile: Education & Experience • Strong educational background, preferably a Bachelor's or Master's degree in Human Resources, Accounting, Business Administration or a related field. • At least 5 years of experience in payroll, compensation & benefits and/or HR administration. • Experience working with an external payroll provider is highly desirable. • Previous experience within the Luxembourg payroll environment is essential. Technical Skills • Strong understanding of payroll administration processes. • Knowledge of compensation and benefits practices. • Attention to detail and data accuracy. • Good understanding of HR administration and employment lifecycle processes. • Experience with time management systems. • Excel and reporting skills. Languages • Fluency in French and/or German. • A professional level of English is required.
