The Position: The OED Operations and Budget Compliance Analyst is located in the Office of the Executive Director (OED) and reports to the Risk and Opportunities Specialist, under the overall guidance of the Chief of Staff. The Analyst supports the effective day-to-day functioning of OED by coordinating and implementing operational activities across financial management, procurement, travel, ICT, asset management and logistics for senior leadership meetings, events and missions. The incumbent also works closely with OED teams and relevant corporate business units to ensure that operational requirements are anticipated, appropriately coordinated and implemented in a timely manner and in accordance with applicable policies and procedures. This role also provides coordination and implementation support to the Risk and Opportunities Specialist on selected enterprise risk management, corporate governance and operational processes, including coordinating inputs, preparing documentation, maintaining trackers and ensuring timely follow-up on decisions and agreed actions. Key responsibilities include coordinating day-to-day operational requirements across OED, working with relevant business units and service providers to ensure timely implementation of financial, procurement, travel, ICT, asset management, and logistical activities. Additionally, the role supports operational planning, monitors progress against agreed requirements and timelines, follows up on outstanding actions, and helps resolve routine operational issues in consultation with supervisors and relevant business units. The position also supports selected risk management and corporate processes through effective coordination, preparation of documentation, tracking of actions, and follow-up with relevant stakeholders. You would be responsible for: A. Operational Coordination and Implementation Coordinate and support the implementation of OED operational requirements across procurement, travel, ICT, asset management and logistics. Work with OED teams to identify operational requirements and coordinate timely action with relevant corporate business units and service providers. Follow operational processes from initiation through completion, ensuring that required documentation, clearances and follow-up actions are completed in a timely manner. Monitor the status of operational requests, identify delays or outstanding requirements and follow up with relevant colleagues and service providers. Support the resolution of routine operational issues and refer more complex matters to the supervisor as appropriate. Maintain operational workplans, calendars, trackers and status reports to support effective planning and implementation. Contribute to improving coordination and working arrangements between OED and relevant corporate service providers. B. Financial and Procurement Operations Support the preparation and monitoring of OED budgets and operational workplans. Monitor expenditures, commitments and budget utilization and prepare regular updates for review by the supervisor. Coordinate financial actions and ensure timely submission and follow-up of required documentation. Support procurement planning and coordinate procurement requirements with OED teams and relevant corporate units. Prepare and coordinate documentation required for procurement and contracting processes in accordance with applicable policies and procedures. Monitor the progress of procurement actions and follow up on timelines, documentation and outstanding requirements. Support periodic financial reviews, forecasting and year-end closure activities. Maintain accurate records and trackers of financial and procurement actions. C. Travel, Missions and Senior Leadership Events Coordinate operational arrangements for official travel and missions involving OED and senior leadership. Work with relevant teams to coordinate travel arrangements, schedules, administrative requirements and mission logistics. Support the operational preparation of high-level meetings, official events and senior leadership engagements. Coordinate logistical requirements with relevant internal and external service providers, including venues, facilities, ICT and other operational arrangements. Maintain mission and event planning trackers and ensure timely follow-up on operational requirements. Support reconciliation and administrative follow-up related to completed travel, missions and events. D. ICT, Assets and Office Operations Coordinate OED requirements related to ICT equipment, systems access and other technology support, in liaison with relevant service providers. Support asset management processes and maintain accurate information on OED equipment and assets in accordance with applicable procedures. Coordinate office-related operational requirements and follow up with relevant service providers on facilities and workplace matters. Support onboarding and separation processes from an operational perspective, coordinating relevant ICT, access, equipment and administrative requirements. Identify recurring operational issues and bring them to the attention of the supervisor. E. Risk Management and Corporate Process Support Support the Risk and Opportunities Management Specialist in coordinating selected enterprise risk management and related corporate processes. Coordinate requests for information and inputs from relevant business units and follow up on agreed deadlines. Compile and organize inputs and supporting documentation for review by the supervisor. Support preparation of presentations, background materials, meeting documentation and summaries. Maintain trackers of decisions, recommendations, commitments and follow-up actions. Support the organization and coordination of meetings related to risk management and other relevant corporate processes. Follow up with relevant stakeholders on agreed actions and provide regular status updates to the supervisor. F. Support to OED Management, Coordination and Follow-up The incumbent provides day-to-day support to the Chief of Staff and OED management, ensuring the efficient functioning of the front office and effective coordination and follow-up across OED's operational priorities.
