Sales Assistant (CRM, Scheduling & Sales Operations Support) – Remote | U.S. Hours Position Type: Full-Time, Remote Working Hours: U.S. Business Hours (Aligned with Sales Team Schedules) About the Role At Pavago, one of our clients is hiring a highly organized and proactive Sales Assistant to support a fast-moving sales team across CRM management, scheduling, follow-ups, proposals, reporting, and day-to-day sales operations. This is not a direct selling role . Instead, you’ll help the sales team stay organized, keep pipeline data accurate, coordinate communication, and ensure deals continue moving forward without operational gaps. You’ll support: CRM management Calendar & meeting coordination Sales follow-ups Proposal preparation Pipeline reporting Cross-functional coordination Day-to-day sales operations If you’re detail-oriented, proactive, and enjoy keeping systems and people organized, this role is a strong fit. What You’ll Own CRM Management & Sales Operations Maintain clean and accurate records across CRM platforms such as: Salesforce HubSpot Zoho CRM Pipedrive You’ll: Update leads, contacts, and opportunities Maintain accurate pipeline stages Log activities and notes Remove duplicate records Identify and correct missing information Maintain strong CRM hygiene Ensure sales leadership has reliable pipeline visibility Scheduling & Sales Coordination Coordinate sales meetings efficiently across multiple calendars and time zones. Schedule: Sales calls Product demos Follow-up meetings Client meetings Internal preparation sessions Use tools such as: Google Calendar Outlook Calendly Ensure sales representatives have the right meeting context, materials, and information before calls. Proposal & Sales Document Support Prepare polished client-facing sales materials, including: Proposals Quotes Presentations Sales decks Client documents Support RFP and RFI responses using existing templates and approved materials. Use: Google Slides Microsoft PowerPoint Canva Proofread documents for accuracy, formatting, and professionalism before they are shared externally. Reporting & Pipeline Tracking Support leadership with accurate sales reporting. Prepare: Weekly sales reports Monthly sales reports Pipeline updates KPI trackers Sales dashboards Track: Pipeline activity Deal progression Conversion metrics Sales performance indicators Ensure reporting remains accurate and up to date. Communication & Follow-Ups Draft and coordinate professional sales communications, including: Follow-up emails Meeting summaries Reminders Thank-you emails Next-step communications Support inbound lead routing and initial coordination. Track outstanding follow-ups so opportunities and client requests don’t fall through the cracks. Cross-Functional Coordination Work closely with: Sales Marketing Finance Operations Leadership Track internal handoffs, responsibilities, and next steps. Help prevent delays by ensuring teams have the information and documentation required to keep deals moving. What Makes You a Strong Fit You: Are highly organized and detail-oriented Naturally follow up and close operational loops Enjoy working with CRMs, calendars, and structured workflows Communicate clearly and professionally Can manage multiple priorities simultaneously Notice missing information and inconsistencies quickly Are proactive rather than waiting to be reminded Enjoy supporting high-performing sales teams Take ownership of accuracy and execution Required Experience & Skills 1–2 years of experience in: Sales Support Administrative Support Sales Operations Operations Coordination Hands-on experience with at least one CRM, such as: Salesforce HubSpot Zoho CRM Pipedrive Strong scheduling and calendar management skills Proficiency with: Google Workspace Microsoft Office Strong written English communication Excellent organizational skills High attention to detail Ability to manage multiple tasks and deadlines Comfortable working independently in a remote environment Availability during U.S. business hours Nice to Have Experience with: Proposal preparation Sales presentations and decks SDR / BDR workflows Sales pipeline management B2B SaaS Marketing agencies Recruiting Professional services Basic Excel or Google Sheets experience with: Pivot tables Dashboards Trackers Sales reports is also valuable. What a Typical Day Looks Like You might: Review and update CRM records Check active opportunities for missing information Schedule sales calls and demos Coordinate calendars across different time zones Prepare a proposal or presentation for an upcoming meeting Send follow-up emails and reminders Update pipeline trackers and sales dashboards Generate reports for sales leadership Coordinate internal handoffs between Sales, Finance, and Operations Make sure outstanding tasks and next steps are completed In short: You keep the sales engine organized, accurate, and operating without friction so the sales team can focus on building relationships and closing deals.
