Sales Assistant (CRM, Scheduling & Sales Operations) – Remote | U.S. Hours Position Type: Full-Time, Remote Working Hours: U.S. Business Hours About the Role At Pavago, one of our clients is hiring a highly organized Sales Assistant to support day-to-day sales operations, CRM management, scheduling, reporting, and proposal coordination. This is an execution-focused role designed to keep the sales team organized and focused on selling. You’ll support the sales process by managing: CRM and pipeline data Sales scheduling and coordination Proposals and sales documents Reporting and dashboards Prospect follow-ups Cross-functional sales workflows If you’re detail-oriented, proactive, and enjoy keeping sales processes organized and moving forward, this role is a strong fit. What You’ll Own CRM & Pipeline Management Maintain accurate records across CRM platforms such as: Salesforce HubSpot Zoho CRM Pipedrive Update: Leads Contacts Opportunities Deal stages Notes and activities Perform regular CRM clean-up Identify and correct duplicate, incomplete, or outdated records Ensure CRM data remains clean, accurate, and reporting-ready Help maintain clear visibility across the sales pipeline Scheduling & Sales Coordination Schedule: Sales calls Product demos Follow-up meetings Internal sales discussions Coordinate calendars across multiple time zones Use tools such as: Google Calendar Outlook Calendly Manage reschedules, conflicts, and meeting reminders Prepare agendas, materials, and relevant account context before meetings Ensure sales representatives are prepared and informed Proposals & Sales Documentation Prepare, format, proofread, and organize: Sales proposals Quotes Presentations Client-facing documents Assist with RFP and RFI responses using approved templates Create and update sales materials using: Google Slides PowerPoint Canva Ensure documents are accurate, professional, and delivered on time Sales Reporting & Metrics Prepare weekly and monthly sales reports Track: Pipeline activity Conversion rates Deal progression Sales KPIs Maintain dashboards and reporting systems Ensure reporting remains accurate and consistent across systems Provide sales leadership with clear pipeline visibility Communication & Follow-Up Draft professional: Follow-up emails Meeting reminders Meeting summaries Internal updates Support inbound lead routing and response coordination Track follow-ups to ensure opportunities don’t fall through the cracks Maintain timely communication with prospects and internal stakeholders Help sales representatives maintain momentum throughout the sales cycle Cross-Functional Sales Support Collaborate with: Sales Marketing Finance Operations Coordinate lead handoffs and internal approvals Support contract processing Assist with customer onboarding handoffs after deals close Help eliminate communication gaps and operational delays Required Experience & Skills 1–2+ years of experience in: Sales Support Sales Administration Administrative Support Operations Coordination Executive Assistance Hands-on experience with CRM platforms such as: Salesforce HubSpot Zoho CRM Pipedrive Strong proficiency with: Google Workspace Microsoft Office Experience with calendar and scheduling coordination Strong written English communication skills Excellent attention to detail Strong organizational and time-management skills Ability to manage multiple priorities and deadlines Comfortable working independently during U.S. business hours Nice to Have Experience supporting Account Executives, SDRs, BDRs, or sales leadership Experience preparing: Sales proposals Presentations Quotes Sales collateral Familiarity with B2B sales workflows Experience in: SaaS Professional services Recruiting Marketing Basic reporting and analytics experience Familiarity with: Excel Pivot Tables Google Sheets reporting Sales dashboards Exposure to contract processing or customer onboarding Tools You May Use Salesforce HubSpot Zoho CRM Pipedrive Google Workspace Microsoft Office Calendly Google Calendar Outlook Canva Google Slides PowerPoint What Makes You a Strong Fit You’re highly organized and naturally detail-oriented You enjoy keeping systems, schedules, and pipelines clean You communicate clearly and professionally You’re proactive with follow-ups rather than waiting for reminders You can manage several priorities without losing accuracy You take ownership of administrative details from start to finish You enjoy helping sales teams operate more efficiently What a Typical Day Looks Like You might start your day by reviewing the CRM, updating pipeline records, and checking upcoming sales meetings. Throughout the day, you’ll coordinate calls, prepare proposals, send prospect follow-ups, update dashboards, and help Account Executives stay on top of active opportunities. You’ll also coordinate with Marketing, Finance, and Operations to keep lead handoffs, approvals, contracts, and onboarding workflows moving. In short: you keep the sales engine organized behind the scenes so the sales team can spend more time selling and closing deals.
