Your Role in Our Mission As Senior Personal Assistant to the CEO / CSO, you will be the guardian of their time, energy, and focus. You will manage personal, family, and logistical matters end‑to‑end — ensuring that wherever they are in the world, their day runs smoothly, nothing important is missed, and they can fully focus on leading the company. This is a role for someone who thrives on precision, discretion, and anticipation, turning complexity into seamless execution. How You’ll Make an Impact Personal Finance & Admin Coordination Research, Vet, Schedule and attend meetings on founder's behalf with advisors Manage personal finances, bill payments, and admin across multiple properties and countries Handle visa applications, tax residency matters, and international compliance Coordinate with business finance teams on personal distributions and payments Lifestyle & Personal Logistics Plan and coordinate personal activities (weekly date nights, travel, reservations) Manage all personal travel (flights, hotels, visas, itineraries) - often with last-minute changes Handle multi-country property matters and logistics Coordinate shipping, errands, and personal shopping Weekend availability for personal planning and logistics Health & Wellness Research, vet, and hire personal trainers, nutritionists, and healthcare providers Schedule and manage fitness sessions and medical appointments Ensure healthy routines are maintained despite travel intensity Family Support Support spouse with personal logistics and coordination Manage family visits, gifts, and important occasions Cultural sensitivity required (Muslim family, observance of prayer times, Ramadan, halal requirements) Business-Personal Overlap Coordinate with internal business teams on matters requiring personal attention Handle urgent document signatures, authorizations, and KYCs across entities Liaise between business operations and personal matters Support with presentations, reports, and documentation as needed (research, formatting, slide creation, data compilation) What You Bring Must Have: 5+ years as Executive Assistant, Personal Assistant, Lifestyle Manager Experience with ultra-high-net-worth individuals, entrepreneurs, or family office operations High availability mindset - comfortable with evening/weekend responsiveness when needed Extreme ownership mentality - you own problems until solved, don't wait for detailed instructions Exceptional organizational skills and obsessive follow-through Absolute discretion with sensitive financial and personal information Strong research and vetting skills - can evaluate and recommend service providers Professional presence to attend meetings with advisors, lawyers, and bankers Tech-savvy (Google Workspace, project management tools, expense tracking) Fluent English, excellent written and verbal communication Proactive problem-solver who anticipates needs Strongly Preferred: Experience coordinating with advisors, lawyers, consultants Familiarity with multi-country logistics (visas, tax, property management) Experience working with Muslim families (cultural sensitivity) Background in finance, operations, or business management Based in or willing to relocate to Kuala Lumpur Personal Attributes: Calm under pressure, flexible, adapts quickly to changing priorities Service-oriented with high integrity Respects boundaries and maintains absolute confidentiality Mature, professional, but personable Your Journey After Applying 30‑minute HR session with the Talent Acquisition team. 60‑minute session with the CEO / CSO.
