Summary The Scott Department of Urology is seeking a Coordinator, Business Operations to provide administrative support to the department, faculty, and education program. This position serves as a key resource for coordinating travel, scheduling meetings, managing complex calendars, and composing correspondence. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities while providing exceptional service in a fast-paced academic medical environment. Job Duties Generic Job Duties Prepares and processes purchasing orders. Manages domestic and international travel in the travel management system (Concur). Composes formal and informal correspondence including, but not limited to, creating and formatting presentations. Calendar scheduling and maintenance. Assists with timekeeping. Submits expenses for reimbursement. Inspects and troubleshoot shared department equipment. Facilitates service calls as needed. Provides additional support to faculty members as needed. Performs other job-related duties as assigned. Credentials & Academic Record Management Processes and maintains credentialing for faculty at BCM and affiliated healthcare institutions. Manages faculty reappointments and renewals. Updates faculty CVs. Assists with tracking documentation of training and educational activities. Finance & Business Operations Assists with departmental business and financial processes (compiling, reviewing, reconciling financial accounts). Manages travel arrangements and reimbursements for faculty (flights, hotels, car service). Submits travel and non-travel expenses for reimbursement. Assists with departmental business and financial processes (compiling, reviewing, reconciling financial accounts). Other Performs other job-related duties as assigned. Assists with daily operations of education fellowship program (clerkship). Minimum Qualifications High School diploma or GED. Two years of relevant experience. Preferred Qualifications Proficiency in Microsoft Office. EPIC and Q-Genda experience preferred. Work Authorization Requirement: This position is not eligible for visa sponsorship. Candidates must be legally authorized to work in the United States at the time of application and throughout the duration of employment.
