Operations Support Executive (Remote & Rotational Shift) (Mumbai)

Summary: We are seeking a motivated and detail-oriented Operations Support Executive who to join our team in the gems and jewellery industry. The ideal candidate will play a key role in ensuring smooth business operations by supporting communication across departments, handling reporting and analysis, and providing back-office support to our retail stores and internal teams. The two positions will operate in different shifts to provide coverage for international operations: Shift 1: 8:00 AM 4:00 PM IST Shift 2: 4:00 PM 12:00 AM IST Both roles report directly to the Head of Operations and will have the flexibility to work remotely after the initial training and onboarding period. Key Responsibilities: - Back-office communication: Act as the first point of contact for store teams, IT, and planning departments, ensuring efficient and timely information flow. - Meeting support: Attend internal meetings, take accurate minutes, and distribute actionable follow-ups. - Reporting & analysis: Must be an advanced Excel user with expertise in PivotTables, Power Query, INDEX/MATCH or XLOOKUP, complex formulas, conditional formatting, and automation (macros/VBA) for reporting and data analysis Perform manual and ad-hoc reporting tasks to support decision-making. - System & process support: Create and manage postage labels and distribution tracking. Support system testing and contribute to troubleshooting with IT teams. Develop and update training manuals for internal use. - Process improvement: Gather FAQs from stores and teams to build Standard Operating Procedures (SOPs). Conduct operations gap analysis and propose improvements to streamline workflows. - General operations support: Assist with day-to-day administrative and operational tasks as required. What we are looking for (Skill sets - Advanced proficiency in Microsoft Excel (formulas, pivot tables, VLOOKUP, conditional formatting, data analysis). - Strong analytical and problem-solving skills with the ability to interpret and present data effectively. - Excellent written and verbal communication skills for clear documentation and stakeholder management. - Highly organized with robust attention to detail and the ability to multitask. - Experience in system testing, documentation, and process creation (preferred). - Previous experience in retail operations or jewellery/luxury industry (advantageous but not essential).
