Role & responsibilities - Purchase fresh fruits and vegetables, food ingredients, consumables, and other required items as per production and inventory requirements. - Coordinate with Production, Planning, Quality, Stores, Finance, and Sales teams to understand material requirements and delivery schedules. - Identify, evaluate, and develop reliable suppliers and maintain an approved vendor database. - Obtain and compare quotations from multiple suppliers and negotiate price, payment terms, quality, MOQ, lead time, and delivery schedules. - Prepare and release purchase orders (POs) and ensure timely delivery of materials. - Follow up with suppliers regarding order status, dispatches, delivery delays, shortages, and quality issues. - Ensure purchased materials meet the company's quality, food-safety, regulatory, and specification requirements. - Coordinate with the Quality team for supplier approvals, material specifications, certificates, and quality documentation. - Monitor inventory levels and coordinate procurement to avoid stock-outs, excess inventory, and production interruptions. - Maintain proper procurement records, including quotations, purchase orders, supplier documents, invoices, and delivery records. - Track supplier performance based on quality, cost, delivery, responsiveness, and service. - Support cost-reduction initiatives through supplier development, alternate sourcing, price negotiations, and purchase planning. - Resolve discrepancies related to quantity, quality, pricing, delivery, and invoices in coordination with relevant departments. - Ensure procurement activities comply with company policies and applicable food-safety and regulatory requirements. - Prepare procurement reports, cost comparisons, pending PO reports, and supplier performance reports for management. - Maintain confidentiality of commercial information and supplier pricing. Required Qualifications - Bachelor's degree - 2-4 years of experience in procurement/purchasing, preferably in a food manufacturing, FMCG, or related manufacturing workplace. - Good understanding of procurement processes, vendor management, and purchase order systems.
