Logistics Executive Inward / Outward & Documentation Department: Supply Chain / Logistics Reporting To: Manager Supply Chain / Logistics Location: Delhi Employment Type: Full-Time Work Mode: In Person Job Summary The Logistics Executive will be responsible for managing Inward and Outward logistics operations along with complete documentation and SOP adherence. The candidate will ensure accurate receipt, dispatch, documentation, inventory movement records, and coordination with transporters, warehouse, procurement, finance, and project teams. The role requires a candidate who understands the complete logistics process, not limited to loading/unloading activities, and has practical knowledge of invoices, delivery challans, E-Way Bills, LR/GR, POD and other dispatch-related documents. Key Responsibilities1. Inward Logistics Management Manage and monitor the complete inward material process.Verify incoming materials against invoices, delivery challans, purchase orders, and other supporting documents.Coordinate with warehouse and procurement teams for material receipt.Check quantity, material description, packaging condition, and discrepancies at the time of receipt.Ensure proper inward entries and documentation.Report shortages, damages, or mismatches to the concerned team.2. Outward Logistics & Dispatch Management Manage the complete outward dispatch process from material preparation to final handover to the transporter.Coordinate with warehouse, project, procurement, and operations teams for dispatch requirements.Prepare and verify dispatch-related documentation.Ensure materials are dispatched as per approved requirements and SOPs.Coordinate vehicle placement, loading, and dispatch schedules.Maintain proper records of all outward shipments.3. Logistics Documentation The candidate must have practical knowledge of: GST InvoicesDelivery ChallansE-Way BillsLR / GR / Transport ReceiptsPOD Proof of DeliveryDispatch and inward/outward registersPurchase Order / Delivery Order documentationMaterial Receipt / Goods Receipt documentationTransporter-related documentsVerify that required documents are complete before dispatch.Maintain accurate physical and digital records.Ensure documentation is available for audit and future reference.4. SOP Adherence & Process Compliance Follow defined logistics, warehouse, and dispatch SOPs.Ensure inward and outward activities are completed as per approved processes.Identify process gaps and immediately report deviations.Maintain proper documentation and records for every material movement.Ensure no shipment is dispatched without required approvals and documents.5. Transporter Coordination Coordinate with transporters for vehicle placement and dispatch.Share correct shipment details and required documents with transporters.Track pickup and delivery status.Follow up for PODs and pending documents.Resolve routine transporter-related issues and escalate critical matters.6. Record Keeping & MIS Maintain daily inward and outward records.Prepare dispatch and logistics-related MIS.Maintain shipment-wise documentation and tracking records.Track pending deliveries, PODs, and documentation.Ensure all logistics data is accurate and updated on time.Support management with required logistics reports.7. Coordination with Internal Teams Coordinate with Warehouse, Procurement, Finance, Projects, Operations, and Supply Chain teams.Ensure smooth communication between internal teams and transporters.Clarify dispatch requirements and documentation before material movement.Escalate discrepancies, delays, documentation gaps, and operational issues.Required Experience 25 years of experience in Logistics, Warehouse, Dispatch, Supply Chain, or Transportation.Hands-on experience in Inward and Outward logistics operations.Practical knowledge of logistics documentation is mandatory.Experience handling dispatch documentation and transporter coordination.Candidates whose experience is limited only to loading/unloading activities will not be preferred.Must-Have Knowledge Mandatory practical knowledge of: Inward & Outward ProcessInvoice VerificationDelivery ChallanE-Way BillLR / GRPOD ManagementDispatch DocumentationTransporter CoordinationWarehouse CoordinationLogistics SOPsBasic MIS & ReportingMS ExcelCandidate Profile The ideal candidate should: Understand the complete logistics cycle, from inward receipt to outward dispatch.Have strong documentation knowledge.Understand the importance of accurate logistics records and compliance.Be capable of independently handling routine logistics documentation.Follow SOPs and established processes strictly.Have good coordination and follow-up skills.Be detail-oriented and responsible.Be comfortable working with multiple internal teams and transporters.Have a proactive approach toward identifying and resolving logistics issues.Key Performance Indicators (KPIs) Accuracy of Inward / Outward RecordsDocumentation AccuracyE-Way Bill & Invoice .
