The Vendor Relationship Manager is responsible for developing, managing, and strengthening relationships with vendors, contractors, manufacturers, and suppliers to ensure timely procurement, competitive pricing, consistent quality, and uninterrupted project execution. This role plays a strategic part in building a reliable vendor ecosystem that supports the company's operational and business goals. Key Responsibilities Vendor Development & Onboarding Identify, evaluate, and onboard qualified vendors, contractors, manufacturers, and service providers. Conduct vendor due diligence, including capability assessments, quality standards, financial stability, and compliance checks. Build and maintain a diversified and reliable vendor network. Maintain an updated vendor database with performance history and certifications. Vendor Relationship Management Build long-term strategic relationships with key vendors and suppliers. Act as the primary point of contact for vendor communications and issue resolution. Conduct regular business review meetings with vendors to discuss performance, quality, pricing, and improvement opportunities. Foster collaboration to ensure mutual growth and operational excellence. Commercial Negotiation Negotiate pricing, payment terms, delivery schedules, warranties, and service agreements. Secure competitive commercial terms while maintaining quality standards. Lead annual rate contract (ARC) discussions and contract renewals. Support cost optimization initiatives without compromising quality. Vendor Performance Management Monitor vendor performance using predefined KPIs. Evaluate vendors based on quality, delivery timelines, responsiveness, pricing, and service levels. Conduct periodic vendor audits and performance reviews. Develop improvement plans for underperforming vendors or recommend replacements when necessary. Procurement Coordination Coordinate with Procurement and Project teams to ensure timely material availability. Monitor purchase order fulfillment and delivery schedules. Resolve supply chain issues that may impact project execution. Support urgent procurement requirements during critical project phases. Quality & Compliance Ensure vendors comply with company quality standards, technical specifications, and contractual obligations. Coordinate with QA/QC teams to address quality issues and corrective actions. Verify compliance with safety, legal, and regulatory requirements. Monitor warranty obligations and after-sales support commitments. Cross-Functional Collaboration Work closely with Design, Production, Warehouse, Finance, and Project Execution teams. Support project planning by ensuring vendor readiness for upcoming projects. Coordinate material approvals, samples, mock-ups, and technical clarifications. Facilitate smooth communication between vendors and internal stakeholders. Risk Management Identify risks related to vendor dependency, supply disruptions, pricing fluctuations, or quality issues. Develop contingency plans and alternate vendor strategies. Monitor market trends and identify new sourcing opportunities. Ensure business continuity through proactive vendor planning. Documentation & Reporting Maintain vendor agreements, contracts, pricing records, and performance reports. Prepare vendor MIS reports, cost analysis, and procurement dashboards. Track vendor KPIs and present performance reviews to management. Ensure proper documentation of all negotiations, approvals, and commercial terms. Required Skills & Competencies Strong vendor management and negotiation skills. Excellent relationship-building and communication abilities. Knowledge of construction materials, modular furniture, hardware, and interior products. Strong analytical, commercial, and problem-solving skills. Ability to manage multiple vendors and projects simultaneously. Valuable understanding of procurement processes, contracts, and supply chain operations. Software Proficiency Microsoft Excel (Advanced) ERP / Procurement Management Software Microsoft Office / Google Workspace Vendor Management Systems (Preferred) Experience & Qualifications Bachelor's Degree in Supply Chain Management, Business Administration, Civil Engineering, Mechanical Engineering, or a related field. 5-8 years of experience in vendor management, procurement, or supply chain operations. Experience in the interior design, construction, modular furniture, or building materials industry is highly preferred.
