Maintain proper physical and digital filing systems. Check files and documents for completeness, accuracy, and consistency. Keep track of pending documents and coordinate with the concerned person for completion. Provide files, documents, and information to the superior whenever required. Coordination with Senior ManagementCoordinate closely with the superior/senior management regarding daily requirements, documents, accounts, and pending matters. Understand requirements given by the superior and ensure timely completion or coordination. Keep the superior updated on the status of files, documents, client matters, meetings, and follow-ups. Prepare and organize information required for meetings, discussions, and reviews. Maintain a proper record of instructions and pending action points. Meeting & Follow-up Management Schedule and line up meetings with clients, field executives, and other relevant parties as instructed. Coordinate with all concerned parties to confirm meeting dates and timings. Maintain a calendar/record of upcoming meetings and appointments. Provide timely reminders and follow-ups to the superior regarding scheduled meetings and pending matters. Follow up after meetings on required documents, information, or next steps. Client & Field Executive CoordinationMaintain regular communication with Field Executives and clients regarding documentation and pending requirements. Coordinate with Field Executives to ensure documents collected from clients are complete and properly submitted. Follow up with clients for missing or pending documents wherever required. Act as a coordination point between the superior, field executive, and client. Ensure important updates and requirements are communicated to the concerned person on time. RequirementsGraduate in Commerce, Finance, Accounting, Business Administration, or a related field preferred. Basic understanding of accounts, finance, and documentation . Good knowledge of MS Excel, Word, Google Sheets, and basic office applications . Strong organizational and filing skills. Good written and verbal communication skills. Ability to coordinate with multiple people and follow up on pending tasks. Good attention to detail and ability to maintain accurate records. Should be responsible, proactive, and comfortable working under the direction of senior management. Prior experience in accounts, finance, documentation, administration, or coordination will be an advantage.
