Role & Responsibilities Working closely with the firm's lawyers, the successful candidate will support the day-to-day management of clients intellectual property portfolios. Key responsibilities include - Maintaining accurate docketing records, diary entries and statutory deadlines using an IP case management software, and ensuring the timely progression of client matters; - Preparing and coordinating client billing, invoices, portfolio reports and related administrative documentation, while assisting with the day-to-day management of client portfolios; - Providing executive, secretarial and administrative support, including calendar management, meeting coordination, document preparation, correspondence and the maintenance of confidential records; and - Providing general paralegal support across the firms intellectual property practice, including assistance with trade mark, patent, and design filings and prosecution matters. Preferred Candidate Profile - Have at least 2 years experience as an IP Secretary, IP Paralegal, Trade Mark Paralegal, Legal Secretary or in a similar legal support role within an IP law firm or legal practice; - Have practical experience in docketing, diary and deadline management, billing, client portfolio administration and legal correspondence (experience with trade mark matters will be an advantage); - Be proficient in Microsoft Office (particularly Outlook, Word and Excel) and comfortable using legal practice management, docketing or billing software; - Possess excellent written and spoken English communication skills, exceptional attention to detail and solid organisational abilities; and - Be proactive, professional and capable of managing multiple priorities in a fast-paced, technology-driven and paperless environment. .
