Location: Sector-37, Gurugram, Haryana Position: Executive Assistant (EA) to Director Qualification: Graduate (Any Discipline) Experience: 1to 4 Years Salary: Up to 5 LPA Office Timings: Day Shift Working Days: Monday to Saturday Work Mode: Work from Office About the Company: Our client is a leading organization engaged in the trading and distribution of industrial fasteners, pneumatic tools, power tools, hand tools, and industrial hardware products . Job Summary: We are looking for a smart, organized, and highly dependable Executive Assistant (EA) to Director to provide comprehensive administrative and executive support to the Director. The ideal candidate should possess excellent communication, coordination, and multitasking skills while maintaining the highest level of confidentiality and professionalism. Key Responsibilities: Manage the Director's emails, calendar, appointments, and business correspondence. Coordinate meetings, appointments, and prepare meeting schedules. Arrange domestic and international travel, including flight bookings, hotel reservations, transportation, and travel itineraries. Coordinate visa applications and travel documentation with travel agencies. Manage expense records, corporate and personal credit card statements, and coordinate bill payments with the finance department. Oversee office maintenance, equipment servicing, and vendor follow-ups. Liaise with internal departments, vendors, and service providers for day-to-day administrative requirements. Maintain confidential company and personal documents, records, and important files. Prepare meeting minutes, record discussions, and ensure timely follow-up on action points. Manage employee attendance, leave records, and attendance through HRMS/attendance software. Track employee attendance, late arrivals, absences, and sales team movement. Coordinate recruitment through job portals and placement consultants. Screen resumes, conduct initial interviews, and schedule interviews with management. Prepare job descriptions, maintain recruitment trackers, and coordinate offer letters. Manage employee onboarding, induction, documentation, and personnel records. Handle resignation processes, exit formalities, and exit interviews. Assist in preparing KRAs, KPIs, and coordinating employee performance reviews. Required Skills: Excellent verbal and written communication skills in English. Strong organizational and multitasking abilities. Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint. Excellent coordination and time management skills. High level of confidentiality, integrity, and professionalism. Strong attention to detail and problem-solving abilities. Ability to work independently and manage multiple priorities efficiently. Preferred Candidate Profile: Graduate in any discipline. 1to4 years of experience as an Executive Assistant, Personal Assistant, or Administrative Executive. Professional, presentable, and proactive personality. Ability to maintain confidentiality while handling sensitive information. Self-motivated with excellent interpersonal and coordination skills.
