Role: Operations Assistant (Software Sales Operations Assistant) Experience: 3 Years to 6 Years Education: Graduation Mandatory Location: Andheri (West), Mumbai Working Days: 6 Days, i.e., Monday to Friday (WFO) & Saturday (WFH) Job Summary: The Operations Assistant (Software Sales Operations Assistant) will be responsible for supporting the end-to-end sales operations process, ensuring smooth execution of software licensing, quotations, order processing, renewals, customer onboarding, and coordination with internal teams and technology partners. The role requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate should have a basic understanding of software licensing, sales processes, CRM systems, and customer relationship management. Key Responsibilities Sales Operations Prepare and manage software quotations based on customer requirements.Process sales orders accurately and ensure timely execution.Coordinate with OEMs, distributors, and internal stakeholders for pricing, licensing, and order fulfillment.Maintain sales documentation, contracts, purchase orders, invoices, and related records.Track order status from quotation to delivery and customer activation.Coordinate software license provisioning and customer onboarding.Ensure all required approvals are obtained before order processing.Customer & Partner Coordination Act as the primary coordination point between customers, the sales team, distributors, and technology partners.Follow up with vendors regarding quotations, licensing, renewals, and delivery timelines.Address customer queries related to order status, software licenses, renewals, and documentation.Ensure timely communication throughout the sales lifecycle.Renewal & Subscription Management Monitor upcoming software license renewals.Maintain renewal trackers and proactively coordinate with the sales team.Send renewal reminders and follow up with customers.Coordinate renewal quotations and order processing.CRM & Data Management Update CRM with customer information, opportunities, quotations, sales orders, and activities.Maintain accurate customer records and sales reports.Generate periodic MIS reports, dashboards, and operational reports.Ensure data accuracy across all sales systems.Documentation & Compliance Maintain complete documentation for every sales transaction.Verify purchase orders, agreements, invoices, and supporting documents.Ensure compliance with company policies and OEM licensing requirements.Organize and maintain digital records for audit purposes.Coordination & Process Improvement Coordinate with Finance, Procurement, Technical, and Sales teams to ensure smooth order execution.Assist in streamlining sales processes and improving operational efficiency.Identify process gaps and recommend improvements.Support management with operational analysis and reporting.Required Qualifications Bachelor's degree in Business Administration, Commerce, Information Technology, Computer Applications, or a related field.13 years of experience in Sales Operations, Software Operations, Inside Sales Support, IT Operations, or Software Licensing.Freshers with strong analytical and coordination skills may also be considered.Required Skills Technical Skills Knowledge of software licensing and subscription models.Familiarity with CRM platforms (Salesforce, Zoho CRM, HubSpot, or similar).Proficiency in Microsoft Excel, Word, and PowerPoint.Experience with ERP systems is an added advantage.Basic understanding of software products, SaaS, and cybersecurity solutions is preferred.Soft Skills Excellent verbal and written communication.Strong organizational and time management skills.High attention to detail and accuracy.Ability to prioritize multiple tasks simultaneously.Problem-solving and analytical thinking.Customer-focused approach.Team player with cross-functional coordination abilities.Preferred Experience: Candidates who have experience in one or more of the following areas will be preferred: Software Sales OperationsSaaS Sales SupportSoftware Licensing ManagementCybersecurity Product OperationsIT Product DistributionSubscription ManagementVendor CoordinationOEM Partner ManagementKey Performance Indicators (KPIs) Quotation turnaround time.Order processing accuracy.Order fulfillment timelines.Renewal conversion rate.CRM data accuracy.Customer satisfaction.Documentation compliance.Operational efficiency.Sales support responsiveness.Why Join Us Opportunity to work with leading software and cybersecurity solutions.Exposure to enterprise customers and global technology partners.Collaborative and growth-oriented work environment.Career progression in Sales Operations, Business Operations, Customer Success, or Software Licensing Management.Continuous learning and professional development opportunities.Compensation: 300,000.00 - 900,000.00 per year Benefits: Health .
