Project Coordinator Sydney | Boutique Project & Development Management Consultancy The Opportunity We’re partnering with a highly regarded boutique project and development management consultancy to recruit a Project Coordinator to join their Sydney team. The business has built a strong reputation for delivering complex property and construction projects across Sydney, working across project management, development management, procurement, design coordination and construction delivery. As a small, senior-led consultancy, the role offers the opportunity to work closely with experienced Project Managers and Directors while gaining exposure to clients, consultants, contractors and the day-to-day coordination of live projects. The project portfolio spans residential, mixed-use, aged care, commercial and heritage developments , providing exposure to a broad range of project types and delivery environments. The Role This is an excellent opportunity for a Project Coordinator looking to build a career in project management. You’ll provide hands-on coordination and project support across multiple stages of the project lifecycle, working closely with Project Managers and senior team members to ensure projects are well organised, information is effectively managed and key actions are progressed. The role will provide exposure across design, procurement, construction, reporting, stakeholder coordination and project administration , with increasing responsibility as your experience develops. Key Responsibilities Support Project Managers with the day-to-day coordination of projects. Maintain project schedules, programmes, action registers and project trackers. Coordinate meetings, prepare agendas, take minutes and follow up outstanding actions. Monitor key project milestones, deliverables and deadlines. Assist with coordinating project tasks across internal and external stakeholders. Maintain accurate and up-to-date project documentation. Stakeholder & Consultant Coordination Coordinate communication between clients, consultants, contractors and project stakeholders. Assist with distributing project information and ensuring responses are received within required timeframes. Attend project and consultant meetings alongside Project Managers. Follow up actions, deliverables and outstanding information. Assist with coordinating responses to project issues and queries. Design & Documentation Assist with coordinating design information and consultant documentation. Maintain drawing and document registers. Track RFIs, design changes, approvals and outstanding documentation. Assist Project Managers in ensuring information is issued to the relevant project stakeholders. Monitor consultant deliverables against agreed timeframes. Procurement & Construction Support Assist with tender and procurement processes, including documentation, tender queries and submissions. Support the coordination of consultant and contractor appointments. Assist with construction administration and project reporting. Attend site and project meetings where required. Track construction progress, outstanding items and key project actions. Assist with identifying potential delays or issues requiring Project Manager attention. Reporting & Administration Assist with preparing project reports, dashboards and regular project updates. Maintain project registers covering actions, risks, issues, variations and approvals. Assist with project cost tracking, invoices and variation registers. Ensure project records are maintained accurately and consistently. Provide general project administration and coordination support to Project Managers and Directors. About You This role would suit someone who is organised, proactive and keen to develop a career in project management . You may already have experience in a Project Coordinator, Project Administrator, Assistant Project Manager or similar role within property, construction or a related environment. You’ll ideally have: Strong organisational and time management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. The ability to manage multiple tasks and competing deadlines. A proactive approach and willingness to take ownership. Confidence communicating with consultants, contractors and other stakeholders. Good Microsoft Office skills, particularly Excel and Word. An understanding of the property, construction or development process. A genuine interest in progressing within project management. A willingness to learn from experienced Project Managers and take on increasing responsibility. Why This Opportunity?
