Operations Assistant

About the role An Operations Assistant role at the heart of day-to-day operations, moving jobs from booking through to mobilisation efficiently, accurately and compliantly. You'll work closely with Project Managers, Estimators, HSEQ Manager and clients, coordinating bookings, supporting labour planning, preparing compliance documentation, raising purchase orders and keeping job information current across systems. Key responsibilities Receive job bookings from Project Managers and Estimators and set up accurate job records in AroFlo and other AAH systems Liaise directly with clients on bookings, changes and urgent requests for smaller, straightforward works Support labour and forward planning, flagging clashes or shortages early Prepare and track compliance documentation, including WorkSafe notifications and Waste Transport Certificates Prepare Safe Work Method Statements (SWMS) with guidance from the HSEQ Manager Raise and coordinate purchase orders with approved suppliers Provide responsive, professional support to clients, suppliers and internal teams About you Experience in asbestos removal, construction, trades, demolition, environmental services or another fast-paced field environment Highly organised, with the ability to juggle multiple jobs and shifting priorities without losing detail A confident, professional communicator who is comfortable being client-facing High level of computer literacy and experience with AroFlo, Monday.com or Microsoft 365 is a plus A compliance mindset, with a careful, methodical approach to records and processes Calm, proactive, takes ownership and isn't afraid to raise issues early About us For more than 30 years, AAH Contracting has been delivering asbestos removal, environmental and waste management services across Victoria.
