We are currently hiring a Front Desk Coordinator to represent Nimbus at our client offices and to support our business unit behind the scenes. If you enjoy creating welcoming experiences, thrive in dynamic environments, and want to grow in the workplace operations and hospitality field, we’d love to meet you. 🕒 Working Hours & Days: Wednesday - Monday (6-day work week, including PH) 8:30 AM - 10 PM (2 breaks) 💼 Salary: $2,800 – $3,000/month Key Responsibilities: Front Desk & Visitor Management ● Greet and assist visitors, clients, contractors and employees in a professionally ● Issue visitor access pass and ensure visitor registration procedures are followed accordingly ● Support employee onboarding and off-boarding processes, including arranging access passes and preparing workspace requirements to ensure smooth transitions ● Maintain a consistently high standard of professionalism and service in all client interactions including internal stakeholders ● Handle incoming/outgoing calls and manage the main reception line ● Manage meeting room bookings and ensure reception/meeting areas are clean and guest-ready Administrative & Mailroom Support ● Manage incoming mail, parcels, and courier deliveries by sorting and distributing them to the appropriate departments or recipients daily ● Process and arrange outgoing mail and courier services ● Maintain and restock printer room supplies, ensuring areas are neat and well-organised ● Coordinate access, timelines and requirements for vendors and contractors during maintenance ● Ensure the mailroom is clean, organised, and secure at all times ● Conduct weekly stock takes for pantry, office supplies, monitor inventory levels, and ensure timely replenishment ● Pack and distribute hygiene supplies to outlets on a bi-monthly basis ● Support monthly maintenance activities held every fourth Saturday of the month ● Perform ad-hoc duties and tasks as required to support facilities and office operations Required Skills & Experience: ● At least ‘N’/'O' Level certificate with approximately 2 years of relevant working experience in hospitality or service industry ● Good spoken English and proficiency in one other local language ● Proficient in MS Office ● Friendly, cheerful, energetic and empathetic, with strong interpersonal skills ● Team player who can also work independently ● Additional desirable traits: strong sense of responsibility, initiative, willingness to go beyond scope, openness to feedback, eagerness to learn and improve (to align with our values of Merit, Excellence, Rewarding People First, Integrity, and Teamwork)
