About the role The Senior Finance & Administration Executive is responsible for managing the company's day-to-day finance operations, including bookkeeping, cash flow, and financial reporting, while also overseeing key administrative functions such as inventory management, procurement, and general office operations. This role ensures accuracy, compliance, and efficiency across both the finance and administrative functions of the business. Key responsibilities Perform daily bookkeeping of accounts payable and accounts receivable transactions. Manage payables in line with the company's cash flow position, and continuously monitor and track the company's overall cash flow. Monitor debtors' aging reports and follow up on outstanding collections. Oversee the financial account closing process and liaise with external auditors to address and resolve audit queries. Review and verify employees' monthly expense claims, including Touch 'n Go and petrol card usage. Prepare monthly financial reports, or as otherwise required, to update management on the company's financial position. Monitor customer support operations to ensure compliance with GDPMD (Good Distribution Practice for Medical Devices) guidelines. Manage inventory to maintain sufficient stock levels at all times, based on monthly stock checks conducted by the customer support team, and ensure proper stock arrangement. Place purchase orders with manufacturers as needed, and manage incoming purchase orders, including coordinating shipment pickups and comparing freight costs on an ongoing basis. Conduct stock receiving upon arrival of new shipments, following random physical stock checks performed by the customer support team.
