Job Summary The People Operations Specialist will support employees throughout the employee lifecycle—from pre-employment preparation and onboarding to employee administration and offboarding. This role will also coordinate employee welfare and benefits, HR data, payroll-related information, training administration, internal communication, employee engagement activities, and office services. Key Responsibilities Recruitment Support and Employee Lifecycle Coordinate interview schedules with candidates and hiring departments. Prepare employee information and coordinate with relevant departments before the employee’s start date. Support onboarding activities and ensure that new employee information is accurately recorded. Maintain and update employee records throughout employment. Coordinate required processes and documentation when employees leave the company. Employee Relations, Welfare and Benefits Serve as an initial point of contact for employee inquiries related to workplace procedures, welfare, benefits, and office services. Provide employees with information and guidance on the provident fund, group insurance, and benefit claims in accordance with company policies. Coordinate employee benefit enrollment, information updates, and related documentation. HR Operations, HR Data and Payroll Support Maintain accurate and up-to-date employee information in HR systems and master records. Review attendance information, timesheets, overtime, and onsite work records. Consolidate payroll-related information and coordinate with relevant departments according to the payroll schedule. This role provides payroll support only and is not responsible for processing or calculating payroll. Maintain employee certification and learning records. Handle employee information with accuracy, confidentiality, and appropriate access controls, in compliance with the Personal Data Protection Act (PDPA) and company data protection policies. Training, Performance and Certification Coordinate internal and external training activities. Prepare training documents, attendance records, and supporting materials. Monitor the 60-day and 90-day probation evaluation schedule, remind managers of upcoming deadlines, and collect completed evaluation forms. Support the annual performance review process as assigned. Maintain training, certification, examination approval, and learning records. Employee Engagement and Internal Communication Prepare internal announcements and employee communication materials. Plan, coordinate, and execute employee engagement activities and company events. Coordinate with internal stakeholders, vendors, venues, and external service providers. Support event-day operations and facilitate internal activities when appropriate. Assist in collecting feedback and evaluating activities for future improvement. Office Management Coordinate office services and provide day-to-day workplace support for employees. Provide information and coordinate office parking arrangements. Coordinate with vendors and external service providers. Maintain HR documents, training materials, and shared files in an organized manner. Support general HR and Admin tasks as assigned by the HR Manager. Qualifications Bachelor’s degree in Human Resources, Business Administration, Management, or a related field. Previous experience or practical knowledge in HR Operations, People Operations, or HR Administration. Good understanding of employee lifecycle processes, HR documentation, welfare, and benefits. Strong communication, coordination, and interpersonal skills. Proactive, responsible, and able to manage multiple tasks and follow them through to completion. Confident in speaking in front of others and supporting internal activities or events. Good analytical thinking and problem-solving abilities. Strong attention to detail and ability to handle confidential employee information appropriately. Good working knowledge of Microsoft Office, particularly Microsoft Excel. Experience with HRIS or Empeo would be an advantage. Positive, can-do attitude with a willingness to learn. Service-minded, approachable, and genuinely willing to help employees at all levels.
