We're looking for a Parts & Service Assistant to join us at our new custom built Truckstops Tauranga site. This is the perfect opportunity for an organised and customer-focused professional who enjoys variety and wants to develop their knowledge across both functions. The Role In this unique role you’ll enjoy a 50/50 split between Parts and Service, while fulfilling an important role in ensuring our customers, technicians, and parts operations are fully supported. No two days are the same. One moment you'll be updating customers on repair progress, and the next you'll be arranging parts procurement, preparing invoices, or supporting workshop administration. Key Responsibilities include Service Support Manage customer enquiries, service bookings, and job card creation. Monitor repair progress, provide updates, and obtain approvals for additional work. Liaise between customers, technicians, and suppliers to ensure efficient workflow. Support recall campaigns and help deliver an outstanding customer experience. Parts Support Source, order, receive, and distribute parts for both workshop and customer requirements. Monitor inventory levels, stock movements, and assist with stocktake activities. Prepare parts quotations and identify cost-effective procurement solutions. Coordinate parts freight, deliveries, and promote parts products and services to customers. Administration Prepare, review, and invoice work in progress (WIP) for both Parts and Service, ensuring all costs, documentation, and approvals are complete. Process supplier and outworker invoices, reconcile payments, manage EFTPOS settlements, and maintain accurate financial records. Maintain branch administration, including reporting, filing, payroll support, mail distribution, stationery management, and customer documentation. Ensure all records, stock paperwork, and service documentation are accurately processed, filed, and maintained in line with company policies and procedures. What we’re looking for? We're open to applicants with strong experience in either servicing or parts operations, however this role will particularly suit someone who: Has previous experience as a service advisor within the heavy transport or automotive industry Enjoys building relationships and providing exceptional customer service Is able to juggle multiple priorities while maintaining attention to detail Is confident using computer systems, invoicing platforms, and administrative processes Communicates effectively with customers, technicians, suppliers, and colleagues Takes pride in delivering a professional and organised customer experience What's in it for you?
