The Project Coordinator is responsible for ensuring a seamless customer experience by coordinating sales orders, managing project execution, and serving as the critical link between customers and cross-functional teams. Serve as a trusted partner to customers by preparing processing sales orders and providing timely order updates from receipt to fulfillment. Compare customer purchase orders to orders entered insuring that all specifications and terms and conditions of the order are met. Verify that Purchase Orders meet NOV XL Systems Delivery Terms, Financial Terms and other commercial requirements. Work with Product Engineering and Marketing to ensure Technical Requirements are met to complete quotations. Provide clear, proactive communication to customers and internal teams regarding pricing, delivery timelines, and order status. Apply math and problem-solving skills to calculate pricing, discounts, and delivery timelines with accuracy. Navigate customer portals for bids, track opportunities, and maintain complete and accurate records. Advise and discuss customer communications with account representatives. Generate reports to support sales insights, forecasting, and decision-making. Communicate with Planning & Scheduling Departments on current and potential orders to maintain order accuracy and on-time delivery. Validate and list applicable customer purchase order details on sales orders so invoice has all required details for expedient payment. Contribute to a culture of continuous improvement by suggesting process enhancements and embracing new technologies. Carry out responsibilities in accordance with established organizational policies and procedures, regulatory requirements, and applicable laws. Travel as required. Additional duties as assigned by the Inside Sales Supervisor. Diploma and/or equivalent Solid math and analytical skills for pricing, reporting, and order accuracy. Experience in Inside Sales a plus Proficiency in Microsoft 365, Outlook, SharePoint, OneDrive Experience with Excel (formulas, pivot tables) or similar tools to manage sales data. Comfortable working with numbers, data, and spreadsheets to support sales accuracy and reporting. SyteLine and Microsoft Dynamics CRM experience is desirable. Incorporate approved AI for business processes. Knowledge of relevant oil and gas products is preferred. Positive attitude, detail & service-oriented, self- motivated, and willing to receive direction.
