We are looking for a Administrative Assistant to join our Landscaping Team! Key Responsibilities Operations & Administration Maintain accurate documentation of landscaping operations and expenditure records Ensure proper record-keeping for departmental activities, including training and administrative documentation Prepare annual CAPEX proposals and support budget planning processes Track and monitor departmental budgets and expenditures Procurement & Inventory Management Manage procurement processes in compliance with company policies Coordinate and execute tender exercises for landscaping-related contracts Oversee purchasing of landscaping supplies, including plants, equipment, fertilizers, and pesticides Maintain proper documentation of contractor works (e.g. tree pruning, fertilisation, maintenance activities) Monitor inventory levels and ensure timely replenishment of materials Service Excellence & Guest Experience Support landscaping operations for hotel events to ensure a well-presented environment Ensure all guest interactions are handled professionally and in line with service standards People Management & Training Prepare duty rosters for landscaping staff based on operational needs and forecasts Monitor the implementation and completion of training programmes Ensure proper administration, supervision, and deployment of staff Safety & Compliance Uphold the highest standards of workplace safety and security Ensure proper handling, usage, and storage of chemicals and landscaping materials Ensure compliance with internal policies and regulatory requirements Key Requirements Minimum 2 years of experience in an administrative support role Prior experience in the landscaping or horticulture industry is highly preferred Certification in horticulture, floristry, or a related field will be an advantage Proficient in Microsoft Office applications (e.g. Word, Excel, PowerPoint) Familiarity with procurement systems or software is an added advantage Strong organisational skills with attention to detail and ability to manage documentation effectively Find your Shangri-La at Shangri-La.
