Job Description: Logistics Service Associate & General Administration Salary Range: HK$15,000 – HK$17,000- Company Overview We are an established Hong Kong‑based trading company with a wholly owned manufacturing plant in Foshan, specializing in the production of secondary aluminum ingots for both the domestic Chinese market and export sales. The Hong Kong office functions as the group’s central trading and finance hub, managing two core business streams: the importation of aluminum zorba (the primary raw material) to supply our PRC factory, and the export of finished secondary aluminum ingots to the overseas market. All logistics and financial operations are centralized in Hong Kong. With an annual sales turnover of approximately HKD 4 billion, we are expanding steadily and are now seeking a capable and hands‑on Logistics Officer to join our team. Job Title Logistics Service Associate & General Administration Work Location Hong Kong Key Responsibilities Shipping & Logistics Management: Handle the full spectrum of shipping arrangements for both the import of aluminum zorba and the export of secondary aluminum ingots. This includes customs declaration, cargo insurance placement, and real‑time shipment tracking to ensure timely and smooth cross‑border movement. Supplier Coordination & Purchase Orders: Communicate proactively with overseas and domestic suppliers to confirm shipment schedules and delivery terms, and prepare and issue Purchase Orders (POs) accurately according to business needs. Documentation & Record Keeping: Maintain a systematic filing of all logistics, customs, insurance and financial documents to support internal controls and transaction tracking. Ad‑hoc Support: Handle any logistics‑related issues or unexpected shipment matters and carry out other tasks assigned by management. General Administration: Ø Reception Duty: Manage front‑desk visitor reception, visitor registration and meeting‑room preparation Ø Answer and forward all incoming general office telephone calls Ø Office Daily‑run Management Ø Take full charge of office stationery procurement, stock‑taking, inventory control and distribution Ø Arrange pickup, delivery and tracking for all incoming and outgoing courier shipments Ø Maintain a tidy, well‑organised working environment and basic office‑facility checks Ø Business‑related Booking & Arrangement Ø Complete hotel reservations, check‑in‑out arrangements for business trips Ø Make reservations and on‑site coordination for business lunches, working dinners and client meals Ø Personal‑Assistant Support for General Manager Ø Schedule the GM’s daily calendar, meetings, visits and travel itineraries Ø Sort incoming documents, messages and routine paperwork Ø Remind the General Manager of upcoming appointments, arrangements and pending tasks Ø Complete ad‑hoc errands, document‑arrangement and private‑life administrative assignments as requested Ø Other Administrative Work Ø Assist in meeting minutes, simple document filing and routine company‑notice circulation Ø Cooperate with colleagues on cross‑department administrative coordination Ø Finish other temporary assignments from management Qualifications & Requirements Education & Experience: Degree holder in Logistics, Supply Chain Management, International Trade, Business Administration, or a related discipline. Minimum 2 years of relevant experience in shipping, import/export logistics, or supply chain operations. Experience with metal recycling or commodity trading industry would be a distinct advantage. Technical Knowledge: Sound knowledge of full sets of import/export documents, customs clearance procedures, and cargo insurance practices. Trade Finance: Experience in dealing with banks for trade finance (especially import loan applications) is a significant plus. Familiarity with letters of credit and trust receipts would be advantageous. Communication Skills: Strong interpersonal and communication abilities; proven capacity to collaborate effectively with overseas suppliers, banking partners, and internal departments. Languages: Excellent command of written and spoken English, Cantonese, and Mandarin is essential. Personal Attributes: Detail-oriented, proactive, and a resourceful problem-solver. Able to work independently under pressure and thrive in a fast-paced environment.
