Administration Officer - Admissions Lyons College Melbourne CBD About Us Lyons College is a TEQSA-registered higher education and VET provider based in the heart of Melbourne's CBD, delivering quality education to a diverse cohort of domestic and international students. We're looking for a detail-oriented Admissions Office r to join our Administration team at our Collins Street head office. Position Description This is a great role that combines elements of student admissions and Higher Education administration. You'll work closely with both the Administrative and Higher Education teams, managing the full cycle of student admissions and enrolment — from application through to graduation. Create Letters of Offer and student CoEs, including all necessary document and visa reviews Ensure student details, student status and course details are accurately reflected on PRISMS, the SMS (Meshed) and the LMS (Moodle) Update student refund information on PRISMS and Meshed monthly Liaise with the academic team to manage the enrolment process for new and continuing Higher Education students Ensure accurate and timely data entry into college systems Prepare and manage exams (Mid Term, Final Exam and Supplementary Exam) in a timely manner Prepare comprehensive enrolment and retention reports Coordinate with academic staff to share Student Evaluation Surveys with students and monitor in-classroom surveys Process COE variations via PRISMS (e.g. course change, deferral, suspension, withdrawal, non-commencement, non-payment, unsatisfactory course progress, COE extension), ensuring required documents are uploaded to Meshed and records are accurately updated across Meshed, Moodle and internal registers Verify authenticity of documents including IELTS, NOOSR assessments, VEVO checks and passport/visa copies, liaising with external bodies and internal compliance officers as needed Act as a key point of contact for prospective students and education agents, providing accurate and timely information on courses, entry requirements and application status Set up Overseas Student Health Cover (OSHC) and coordinate VEPT placement testing for incoming students Save and maintain all related documents on a continuous basis Liaise with other administrative staff, academic staff and students to ensure accurate communication and deadlines are met Other duties as required and within your skill set About You To be considered for the position, you will have: Proficiency in Microsoft Excel or Power BI, with the ability to analyse data and generate enrolment/retention reports Experience with student management systems (such as Meshed) and learning management systems (such as OpenLearning) is highly desirable Excellent written, verbal and interpersonal communication skills, with the ability to work collaboratively across academic and professional teams Strong organisational skills and attention to detail, with the ability to manage multiple tasks and deadlines independently Strong analytical and problem-solving skills, including troubleshooting enrolment and system access issues Preferred Experience and Qualifications A relevant tertiary qualification and a minimum of 1 year of experience, or equivalent knowledge gained through a combination of education, training and experience Familiarity with educational policies and procedures, particularly student enrolment and retention Experience with Meshed and/or RTO Manager strongly preferred — candidates who understand course structures, timetabling, fee schedules and reporting within these systems will be highly regarded Further Information This is a 0.8 - 1EFT position and is an exciting opportunity to work with a vibrant team, that is passionate about delivering quality education to students.
