About the role The Manager, Business Operations oversees the operational and financial performance of business units, ensuring they operate efficiently and achieve business objectives. The role is responsible for business planning, budget management, procurement, contract administration, governance, and business development. It also identifies opportunities to improve processes, enhance customer experience, and drive sustainable business growth while ensuring compliance with organizational policies and standards. Key responsibilities Manage the annual budgeting and forecasting process for the department and its facilities and programmes. Monitor revenue, expenses, billing, collections and budget utilization. Review monthly financial results, explain significant variances and work with the relevant teams on follow-up actions. Prepare financial forecasts and management reports and ensure that spending and financial transactions are properly approved and recorded. Oversee procurement activities and ensure compliance with the organization's policies and approval limits. Guide teams on quotations, tenders, procurement waivers, contract management, etc. Review procurement documents and recommendations before submission for approval and ensure that proper records are maintained for audit purposes. Lead the preparation of monthly, quarterly and annual management reports covering financial & business performance, business results and key operational updates. Coordinate and review information submitted by the different teams to ensure that reports are accurate, complete and submitted on time. Analyze the results, highlight key issues and trends, and provide clear explanations for significant changes. Prepare presentation materials, management papers and other reports when required. Oversee the department's administrative processes, procedures and internal controls. Develop and review SOPs, approval processes and work procedures. Ensure that business teams comply with organizational policies and maintain proper records. Coordinate audits, follow up on findings and ensure that required actions are completed. Maintain oversight of licenses, insurance, contracts and approvals, and improve processes where gaps are identified. Oversee the online booking system for the organization's facilities, programmes and activities. Ensure that facility information, prices, booking rules, availability and payment requirements are correctly maintained. Manage system improvements, testing and implementation, and ensure that users are trained on new features and processes. Manage the department's approved headcount, vacancies, staff movements and manpower costs. Review manpower needs based on operational requirements and available budgets. Work with HR on recruitment, staff replacements, transfers and requests for new positions. Maintain accurate manpower records and ensure that staffing remains within the approved headcount and budget. About you Diploma or degree in Business Administration, Finance, Accounting, Operations Management or a related field. At least five years of relevant experience, including experience in a supervisory or managerial role. Experience in budgeting, financial reporting, procurement or business administration. Familiar with procurement procedures, contracts, internal controls and audit requirements. Experience managing an online booking, CRM or similar business system would be an advantage. Strong organizational, analytical and problem-solving skills. Able to manage several areas of work and coordinate with different departments. Advanced proficiency in Microsoft Excel (including functions such as Power Query, VLOOKUP etc) and or experience with Power BI will be an added advantage.
