JOB PURPOSE The HR Automation Specialist is responsible for supporting the implementation, administration, and continuous improvement of HR automation initiatives, with focus on maximizing the use of OmniHR and other digital HR tools. The role ensures that HR processes such as recruitment, onboarding, employee records management, performance management, workflow documentation, reporting, and employee self-service are streamlined, accurate, compliant, and user-friendly. This position works closely with HR, IT, Finance, Payroll, external vendors, and department stakeholders to reduce manual work, improve data accuracy, strengthen employee experience, and support the Company’s digital transformation objectives. KEY ACCOUNTABILITIES HRIS Administration and System Support § Administer and support OmniHR and related HR digital platforms, including employee records, user access, system settings, workflows, forms, approval routing, and data maintenance. Process Automation and Workflow Improvement § Implement manual HR processes and recommend automation solutions to improve efficiency, accuracy, turnaround time, and employee experience. § Develop, test, monitor, and continuously improve automated workflows for recruitment, onboarding, offboarding, employee document management, employee movements, performance management, and other HR transactions. HR Data Management and Documentation § Maintain accurate and updated employee information, digital 201 files, onboarding records, employment documents, and HR templates in accordance with Company policy and data privacy requirements. § Support document migration, data encoding, template creation, bulk uploads, and system clean-up activities to ensure completeness and reliability of HR records. Reporting, Analytics and Compliance § Prepare and maintain HR dashboards, reports, trackers, and data summaries related to recruitment, onboarding, employee records, attendance, performance, workflow completion, and other HR automation metrics. QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS: Minimum Qualifications § Bachelor’s degree in Human Resources, Psychology, Business Administration, Information Technology, Industrial Engineering, or any related course. § With basic understanding of HR functions such as recruitment, onboarding, employee records management, timekeeping, performance management, and employee lifecycle processes. § Preferably with exposure to HRIS, HR automation tools, workflow systems, applicant tracking systems, or employee self-service platforms. Minimum Experience & Knowledge & Skills § At least one (1) year of experience in Human Resources, HR operations, HRIS administration, process improvement, data management, or system implementation support. § Knowledgeable in HR processes, employee data handling, documentation control, workflow mapping, user access administration, and basic project coordination. § Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook; experience with HRIS, OmniHR, LMS, ATS, payroll, or employee database systems is an advantage. § Strong attention to detail, analytical thinking, problem-solving ability, and accuracy in handling confidential employee information. § Good communication, coordination, and customer service skills, with the ability to assist employees, managers, vendors, and cross-functional teams on HR system-related concerns. § Able to learn new systems quickly, document procedures, conduct basic user orientation, and support continuous improvement initiatives within HR.
