Job Description & Responsibilities: Handle administrative tasks, document preparation, and office coordination. Manage petty cash, office supplies, equipment, and property registration, including computers, telephones, and other company assets. Maintain office tidiness, employee welfare, and benefit administration. Source and negotiate with suppliers to ensure competitive pricing, quality, and timely delivery. Manage purchase requisitions (PR), purchase orders (PO), inventory control, and supplier communication. Track order status, follow up with suppliers, and ensure on-time delivery. Coordinate import and export operations, including preparation and checking of shipping and commercial documents, customs-related documentation, and coordination with freight forwarders, customs brokers, suppliers, and relevant stakeholders. Coordinate import/export shipments and follow up on shipment schedules, customs clearance, and delivery status. Ensure accurate and timely invoice processing and payment coordination. Review and maintain Import and Export documentation, such as Commercial Invoice, Packing List, Bill of Lading / Air Waybill, and other related documents. Coordinate with QC on rejected items and resolve quality or delivery issues with vendors. Ensure accurate and timely invoice processing and payment coordination. Prepare and maintain procurement, purchasing, and import/export reports and documentation. Support bidding documentation for construction, installation, and material procurement as required. Perform other tasks assigned by the supervisor. Qualifications: Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, International Business, or a related field. Minimum 2 years of relevant working experience in Administration and Purchasing, with hands-on experience in Import and Export operations. Practical experience in Import and Export documentation, shipping documentation, customs procedures, and coordination with freight forwarders is required. Good understanding of Import and Export processes, including shipment arrangements, customs clearance, and related documentation. Experience in purchasing, supplier sourcing, price negotiation, purchase requisitions (PR), and purchase orders (PO). Proficiency in English or Chinese in speaking, reading, and writing. Good English communication skills are required for coordination with overseas suppliers, freight forwarders, and relevant stakeholders. Knowledge of SAP is an advantage. Proficient in Microsoft Office, Outlook, and Internet applications. Strong sense of responsibility, attention to detail, and good communication and coordination skills. Good problem-solving and negotiation skills. Able to work independently and coordinate effectively with internal and external stakeholders. Resume must be submitted in English or Chinese . Able to work overtime when required.
