Receptionist: Answer and manage incoming phone calls promptly and courteously. Identify the purpose of the call clearly and address queries effectively. Provide accurate information and direct calls to the appropriate person or department. Accurately take and deliver messages. Update the status of Work Orders daily. Contact customers for daily collections. Organize items completed by Production for customer collection. Receive Visitors: Greet visitors appropriately. Determine visitors' needs professionally. Direct visitors to the correct person or department. Ensure coverage of the reception desk when absent. offer refreshments when appropriate Accounts Assistant: Issue invoices, debit notes, cash sales receipts, and delivery orders. Address customer inquiries related to billing issues. Resolve e-invoice submission issues to avoid late charges and duplicate invoices. Download purchase orders from customer portals for reference. File sales invoices, delivery orders, and purchase orders as needed. Scan work orders for the Sales Department (both overseas and local). Update billing information on delivery orders and ensure all delivery orders are invoiced. Prepare and report updates on billing and delivery order issues. Perform other ad-hoc duties as required. Skills and Qualifications: Proven experience as a receptionist, accounts assistant, or similar role. Strong organizational and multitasking skills. Excellent communication and interpersonal skills. Proficiency in MS Office and accounting software. Ability to handle sensitive information with confidentiality. Strong attention to detail and problem-solving skills.
