Key Responsibilities 1. Purchasing & Procurement Manage purchasing activities for materials, spare parts, tools, equipment, and maintenance supplies used in container yard operations. Source and evaluate suppliers based on price, quality, delivery performance, and service standards. Negotiate pricing, payment terms, and procurement contracts with vendors and suppliers. Prepare and issue Purchase Orders (PO) and monitor delivery schedules to ensure timely supply. Control purchasing costs and prepare procurement reports for management review. Maintain purchasing records and supplier databases accurately. 2. Contract & Documentation Management Handle and maintain company contracts and procurement-related documents, including service agreements, supplier contracts, and subcontractor documentation. Review documents for accuracy and completeness before management approval. Develop and maintain an organized document control and filing system. Coordinate with Accounting, Finance, Operations, and related departments regarding procurement and contractual documentation. 3. Maintenance & Technical Support Coordination Coordinate with maintenance and technical teams regarding spare parts and repair equipment requirements. Monitor stock levels and arrange purchasing plans to ensure sufficient inventory availability. Support repair and maintenance operations by ensuring timely procurement and delivery of required materials and equipment. 4. Internal System Development & Process Improvement Establish and improve purchasing systems, workflows, and internal operational procedures. Develop SOPs (Standard Operating Procedures), document control processes, and procurement workflows. Support the implementation of approval processes, filing systems, and cost control procedures. Analyze operational inefficiencies and recommend process improvements. Assist management in building structured internal systems for a company currently developing its operational processes. Qualifications Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Engineering, or related fields. Minimum 3–5 years of experience in purchasing, procurement, contract administration, or related functions. Experience in container yard operations, logistics, warehouse, maintenance, or repair businesses will be an advantage. Strong negotiation and supplier management skills. Ability to develop systems, organize workflows, and improve operational processes. Good command of Microsoft Office, especially Excel. Strong coordination, problem-solving, and communication skills. Detail-oriented and able to work under pressure.
