Job Purpose: Plays a vital role in ensuring efficient supplier operations and timely order execution. Serving as the primary point of contact for vendors on Supply Chain matters, this role maintains onboarding compliance through rigorous document verification, secures on-time PO confirmations, monitors shipment statuses, and flags potential logistics risks proactively. Key Accountabilities: Cross-Functional Coordination & Administrative Support Under guidance, assist cross-functional teams with supply chain related queries during the Pre-PO phase, such as the quotation management (QM) stage. Closely follow up with suppliers on order confirmations to secure our required PO due dates. Vendor Setup Verify vendor setup documents to ensure seamless PO release and routing. Manage administrative tasks for registering and updating new and existing vendors. Facilitate efficient vendor onboarding in strict compliance with Birgma's supply chain requirements. Order Management & Execution Coordinate with the Trade team to ensure prompt system updates for PO revisions, if needed. Act as the first point of escalation for suppliers regarding daily operational or shipment issues. Liaise directly with our freight forwarders regarding cargo readiness at suppliers, vessel space bookings, and routine logistics troubleshooting. Proactively monitor order status and flag potential risks (e.g., production delays, shipment delays, missing documents). Track and report on supplier performance on on-time booking, delivery and doc’t submission. Qualifications: Higher Diploma, Associate Degree, or University graduate in Supply Chain, logistics, commerce, a related discipline, or equivalent working experience. Minimum 1- 3 years of experience in order fulfillment, shipping/logistics/supply chain operations, or supplier management. Advanced proficiency in MS Excel (XLOOKUP, Pivot Tables) and hands-on experience using ERP software Strong organizational skills to prioritize tasks and manage time effectively. Good command of written and spoken English and Chinese (Mandarin and Cantonese).
