Finance & Office Administrator Full-time | Office-based | Newmarket, Auckland About Crossware Crossware is a New Zealand software company with customers in more than 60 countries. We develop enterprise email signature solutions used by organisations worldwide. Our team is collaborative, hands-on and committed to delivering exceptional service and innovation. About the Role This is far more than a traditional finance administration role. Working closely with the Finance Manager and Managing Director, you will become a key member of the management support team, ensuring our financial, commercial and administrative operations run efficiently. You will oversee day-to-day finance administration, coordinate customer and supplier contracts, monitor software licence renewals and overages, assist with administration. Key Responsibilities · Support the Finance Manager with daily finance operations. · Manage accounts payable and receivable across multiple currencies. · Prepare payment runs, bank reconciliations and assist with month-end reporting. · Monitor outstanding debtor accounts and professionally follow up overdue invoices. · Monitor software licence renewals, maintenance agreements and customer licence overages. · Work with the Sales and Finance teams to ensure additional licence usage is invoiced correctly. · Prepare quotations, commercial documentation and customer correspondence. · Maintain accurate CRM, financial and document management records. · Provide executive assistance to the Managing Director including meeting coordination, travel, correspondence and follow-up of action items. · Provide general office administration and support across the business. Skills & Experience · Previous accounting and finance administration experience. · Strong knowledge of cloud accounting systems (Xero, MYOB or similar preferred). · Intermediate to advanced Microsoft Excel and Microsoft 365 skills. · Experience with CRM systems. · Excellent organisational skills with exceptional attention to detail. · Ability to manage multiple priorities and meet deadlines. · Professional written and verbal communication skills. · High level of discretion and confidentiality. · Self-motivated with a proactive approach and strong commercial awareness.
