Responsibilities: Manage the receipt, issuance, circulation, follow‑up and filing of official documents; update corporate intranet information and administer routine secretarial operations. Provide end‑to‑end logistical support for key corporate meetings, covering venue coordination, meeting notice issuance and compilation of meeting materials; draft initial meeting minutes and ensure proper safekeeping, sorting and archiving of meeting documentation. Carry out day‑to‑day archive‑management practices; assist with revising archive‑management policies and procedures, coordinate cross‑departmental annual filing exercises, and standardize archive access and borrowing workflows. Be responsible for daily administration of corporate seal and business licences. Strictly comply with internal policies and approval workflows, verify supporting documentation, standardize seal‑affixing and licence‑usage procedures, and maintain complete registration ledgers and filing records. Support corporate‑governance operations; assist the team lead with preparatory work for Shareholders’ Meetings, Board Meetings, General Management Meetings and meetings of Special Committees. Undertake document submission, form completion and data compilation for regulatory bodies, market‑authorities and tax authorities in full compliance with applicable rules. Execute hands‑on director‑services tasks including collation of directors’ remuneration documents, regulatory statistical returns and basic related‑party‑transaction information. Facilitate internal department‑wide coordination, monitor milestones of secretarial assignments, maintain comprehensive working ledgers and ensure effective closure of all tasks. Requirements: Bachelor’s degree or above, majors in Chinese, Public Administration, Law, Finance & Insurance or related fields preferred. Minimum 3‑years of practical secretarial experience in General Office or Board Secretary Office of SOEs or financial‑insurance institutions. Exceptional high‑calibre recent graduates will also be considered. Meticulous, responsible and result‑oriented; capable of multi‑tasking efficiently. High confidentiality awareness, good communication, coordination and teamwork skills. Proficient in Microsoft Office applications (Excel, Word and PowerPoint). Excellent command of both written and spoken English and Chinese (Cantonese and Putonghua).
