Job Summary We are seeking a proactive and organized Sales Administrative Assistant to support our sales operations team in Thailand. This role is critical in ensuring smooth coordination between sales, customers, distributors, logistics, and internal departments to drive business efficiency and customer satisfaction. Job Responsibilities Sales Administration Prepare and process sales orders, quotations, invoices, and related documentation. Manage customer purchase orders and ensure timely processing and fulfillment. Maintain accurate sales records, reports, and databases. Assist in tracking sales performance and preparing regular sales reports. Customer & Distributor Coordination Act as the primary contact for customer inquiries regarding orders, deliveries, and documentation. Coordinate closely with distributors, warehouse teams, and logistics providers to ensure timely deliveries. Follow up on customer requests and resolve operational issues efficiently. Documentation & Reporting Maintain and organize sales contracts, agreements, and customer files. Prepare monthly sales reports, forecasts, and customer summaries. Support data entry and ensure information accuracy in company systems. Inventory & Logistics Support Monitor inventory availability and coordinate replenishment activities. Liaise with warehouse and supply chain teams on stock movement and delivery schedules. Assist in monitoring product availability to support sales activities. Administrative Support Arrange meetings, prepare presentation materials, and support sales team activities. Assist in travel arrangements, expense claims, and other administrative tasks. Support ad-hoc projects and assignments from management. Requirements Diploma or Bachelor's Degree in Business Administration, Sales, Marketing, or related disciplines. Fresh graduates are encouraged to apply. Minimum 1-2 years of experience in sales administration, customer service, or administrative support is an advantage. Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint. Strong organizational skills with high attention to detail. Good communication and interpersonal skills. Ability to work independently and manage multiple tasks effectively. Positive attitude, willingness to learn, and strong sense of responsibility.
