Job Responsibilities Office & Facilities Management Plan and coordinate office relocation, setup, renovation, and fit-out to meet timelines Oversee daily office and facilities operations for a safe, functional environment Manage maintenance, repairs, improvement works, and space issues Ensure workplace safety, health, and fire safety compliance; coordinate with Fire Wardens Handle leasing matters: landlord liaison, renewals, compliance Oversee pantry and parking administration Liaise with IT and service providers to ensure system reliability Coordinate with stakeholders and external parties on office management issues Workplace Operations & Visitor Management Coordinate workstation setup with necessary equipment Manage access cards, visitor management, room/resource booking systems Oversee visitor reception for a seamless experience Streamline processes and workflows for efficiency Support business continuity planning and manage disruptions Vendor, Contract & Procurement Management Manage contracts for facilities, services, and workplace systems Act as primary contact for vendors (cleaning, security, maintenance, IT, utilities) Monitor vendor performance and contractual compliance Drive cost-effectiveness and service improvements Oversee procurement of supplies, equipment, and office assets Track inventory, maintenance, and issuance/return of assets Maintain records, contracts, inventories, SOPs Monitor office expenditure, track budget, support financial reporting Administrative & Team Support Provide admin support: calendar, meetings, reports, presentations Support staff onboarding, offboarding, engagement activities Coordinate office events, meetings, and visits (logistics, vendor, room setup) Requirements Degree in Business Admin, Office Management, Facilities, Project, Healthcare Admin, or related field 3-5 years experience in office management, facilities, admin, or project support, preferably in healthcare/institutional environment Experience in office setup, relocation, vendor/contract management, procurement, budget tracking Strong organizational, coordination, stakeholder management skills Ability to work independently, exercise sound judgment, manage multiple priorities Effective communication and interpersonal skills Proficiency with digital tools, AI-enabled productivity solutions, MS Office (Word, Excel, PowerPoint, Outlook) May Goh R1100394 / 02C5351
