Job Summary: The Assistant Purchasing Manager’s role is to conduct product research and source new suppliers and vendors to ensure the best price while maintaining quality. Furthermore, this role requires a resilient leader capable of thriving in a high-pressure environment, and balancing strict adherence to standard operating procedures (SOPs) with a strong "service mind" tailored to the unique needs of an international school. As well as coordinating with the relevant departments to ensure a smooth purchasing process and payments. Responsibilities: Conducting product research and sourcing new suppliers, vendors and organizers Sourcing materials, goods, products, and services and negotiating the best or most cost-effective contracts and deals Compares prices and investigates quality of all materials, and ensure the best price while maintaining the quality Performing task/inventory inspections and reordering supplies and stock as necessary Conducting market research to keep abreast of emerging trends and business opportunities Inspecting goods/services and reporting any faulty items or inconsistencies immediately Updating and maintaining records of all orders, payments, and received goods/services Coordinating with the delivery team and following up on delays or orders that have been rescheduled Attending product launches and networking with industry professionals Establishing professional relationships with school members as well as vendors and suppliers Ensuring all delivery goods is packaged appropriately and delivered to the correct location in a timely manner Working abide Purchasing SOP Work as Assistant Manager, coordinating with teachers, staff, and concerned departments and also Finance & Accounting Department for data entry & processing & payment arrangement Handle all PR processes for the entire school including academic and non academic Ensures that all payment transactions comply with established policies and procedures Communicate closely to keep requestors informed of the status of purchase orders and delivery timelines Coordinate with logistic and transportation requirement and maintenance Responsible for all arrangements and logistic for the school operation All other tasks assigned by the Purchasing Manager and the Director of Finance Qualifications: Bachelor’s degree in Business, Logistics, or any related field Resilience & Integrity: Proven ability to make tough, transparent decisions in a high-pressure working environment while maintaining a strong “service mind”. At least 5 years of working experience in purchasing Proficiency in relevant management software programs Good command of English in written and verbal in both communication & negotiation Great organizational and planning skills Ability to follow request specifications Excellent networking and time management skills
