Purpose The purpose of the Front Office Administrator role is to provide professional, welcoming, and efficient front office and administrative support to ensure the smooth day-to-day operation of the school. The Front Office Administrator serves as a key point of contact for students, parents, staff, visitors, and external stakeholders, while maintaining accurate records, coordinating communication, and supporting the school’s administrative processes in an international education environment. Duties & Responsibilities Front Office & Reception: Welcome and assist students, parents, staff, visitors, and other stakeholders in a professional and friendly manner. Manage the reception area, visitor registration, incoming calls, emails, correspondence, and general enquiries. Communication & Customer Service: Respond to front office enquiries and provide accurate information regarding school procedures, schedules, events, and services. Direct enquiries and requests to the appropriate department, staff member, or school leadership as required. Student and Parent Support: Assist students and parents with routine administrative enquiries and provide appropriate support in accordance with school procedures. Coordinate student sign-in/sign-out, late arrivals, early departures, and other front office records as required. Maintain confidentiality when handling student, parent, and staff information. Administrative Records: Maintain accurate physical and digital records, correspondence, forms, and other front office documentation. Support the preparation, filing, scanning, copying, and distribution of administrative documents. Scheduling & Coordination: Assist with appointments, meetings, school events, and other activities requiring front office coordination. Coordinate with academic and non-academic departments to ensure information and administrative requests are communicated in a timely manner. School Operations Support: Support daily administrative operations, including coordination of deliveries, couriers, contractors, and external visitors. Assist with emergency, safety, and other school procedures as directed by school leadership. Office Management: Monitor front office supplies, forms, and basic administrative resources and request replenishment when required. Maintain a clean, organized, professional, and welcoming front office environment. General Administrative Support: Provide administrative assistance to school leadership and relevant departments as required. Assist with data entry, reports, photocopying, scanning, filing, and other routine administrative tasks. Professional Standards: Represent the school in a professional, courteous, and culturally sensitive manner. Uphold the school’s values and contribute to a positive and inclusive environment for students, families, and staff. Qualifications & Experience ●Diploma or Bachelor’s degree in Business Administration, Hospitality, Communication, Education Administration, or a related field. ●Minimum 1–2 years of experience in front office, administration, customer service, reception, or a similar role, preferably in a school, international organization, hospitality, or service environment. ●Strong organizational and administrative skills with good attention to detail. ●Strong written and verbal communication skills in Bahasa Indonesia and English. ●Friendly, professional, and service-oriented approach when dealing with students, parents, staff, and visitors. ●Ability to manage multiple tasks, prioritize effectively, and remain calm in a busy school environment. ●Ability to handle confidential information with integrity, discretion, and professionalism. ●Proficient in Microsoft Office Suite, email, and common administrative/document management systems. ●Proficient in English and comfortable communicating in an international school environment.
