Key Responsibilities: 1. Business Courier Tracking and Follow-up Coordinate company business courier shipments and distribution, including order tracking, logistics coordination, and real-time updates on delivery status. Liaise with courier companies to ensure the accuracy and timeliness of logistics information, and handle exception orders and customer complaints efficiently. Manage courier-related documentation, regularly update system data, and prepare logistics performance reports. 2. Singapore Office Daily Operations Provide comprehensive administrative and clerical support, including document management (receiving, dispatching, archiving, safekeeping), office supplies procurement and inventory management, and daily maintenance of office equipment. Organize and coordinate meetings (book rooms, prepare materials, take minutes), receive visitors, and maintain a tidy, safe, and compliant office environment. Handle daily administrative tasks such as mail forwarding, phone answering, data entry, and coordinate the resolution of ad-hoc operational issues. 3. Employee Relations Employee Relations: Foster a harmonious and collaborative workplace culture within the Singapore office. Serve as a point of contact for staff concerns to maintain positive employee relations. Onboarding & Offboarding: Assist in the full employee lifecycle process, ensuring smooth execution of onboarding and offboarding procedures in compliance with company policies and local regulations. 4. Attendance Management & HR Data Attendance Tracking: Oversee daily attendance operations for the Singapore office. Prepare accurate monthly attendance reports, specifically verifying leave records and clock-in/out data to ensure compliance and accuracy. Record Maintenance: Maintain and update employee personnel files (both hard and soft copies) and rosters. Assist in generating basic HR reports as required by management. 5. Other Administrative Support Provide reception and logistical support during industry exhibitions or corporate events. Respond promptly to ad-hoc requests from customers, stakeholders, or the operations team. Requirements: Minimum 1 year of experience in administration, human resources, or a related field. Prior experience in Singapore's local recruitment landscape is highly advantageous. Ability to work independently with minimal supervision and possess strong computer literacy (Proficient in Microsoft Office Suite, especially Excel for attendance reporting). Proactive attitude, strong learning agility, excellent communication and interpersonal skills, and a proven team player. Familiarity with the Singapore Employment Act and local HR practices is a plus. Salary will be negotiated based on experience and qualifications.
