About us The Tooth Company is building one of New Zealand’s most progressive healthcare groups. Across multiple locations and brands, we are focused on delivering an outstanding patient experience, supported by strong systems, great people and a high-performance culture. As the group continues to grow, we are bringing more of our finance and operational support functions in-house to improve visibility, efficiency and control across the business. We are looking for an organised, commercially minded and detail-focused Group Finance Coordinator to support the day-to-day financial operations of our group. This is a varied, hands-on position for someone who enjoys taking ownership, improving systems and working closely with business leaders in a fast-moving environment. About the role The Group Finance Coordinator will support bookkeeping, payroll, reporting and operational finance activities across multiple businesses within The Tooth Company Group. Working closely with the directors and management team, you will help ensure our financial processes operate accurately, efficiently and on time. This is initially a part-time employee position of approximately 20 hours per week. There is potential for the role and working hours to grow as the group expands. Key responsibilities Financial administration and bookkeeping Complete regular bank reconciliations Manage accounts payable and creditor records Process supplier invoices and prepare payments Support accounts receivable and payment follow-up Process patient refunds and other financial adjustments Raise and reconcile intercompany invoices Maintain accurate financial records across multiple entities Assist with GST preparation and reconciliations Monitor finance inboxes and maintain financial documentation Liaise with suppliers and internal team members to resolve account queries Payroll and commission support Support payroll processing using Smartly Calculate dentist and clinician commissions Assist with payroll reconciliations and leave-balance reviews Set up new employees in payroll systems Help resolve payroll and commission queries accurately and confidentially Reporting and forecasting Assist with monthly management reporting Track performance against budgets Maintain and update cash-flow forecasts Prepare financial information for management meetings Support the directors with financial analysis and performance tracking Identify unusual results, discrepancies and emerging financial issues Systems and operational support Provide finance support across multiple clinics and business entities Help document and improve financial processes and controls Support the implementation of systems and automation improvements Liaise with external accountants, payroll providers and other advisers Assist management with relevant ad hoc finance and operational tasks About you You will be someone who: Has exceptional attention to detail Is highly organised, proactive and dependable Can work independently and take ownership of tasks Enjoys solving problems and improving systems Communicates clearly and professionally Handles sensitive and confidential information with discretion Is comfortable balancing competing priorities Enjoys working in a collaborative, positive and fast-paced environment Skills and experience Previous experience in bookkeeping, finance administration, accounts support or a similar role Experience using Xero is strongly preferred Experience using Smartly Payroll would be advantageous Strong Excel or spreadsheet skills Practical payroll experience would be beneficial Experience working across multiple entities would be an advantage Healthcare or professional-services experience would be helpful but is not essential You do not need to meet every preferred requirement. We are particularly interested in candidates who are accurate, trustworthy, comfortable taking ownership and motivated to grow with the business.
