The HR and Admin Officer serves as the primary local support function for the Philippine office, overseeing human resources, employee relations, recruitment, labor compliance, administration, Environmental Health and Safety (EHS) coordination, and office operations. The position acts as a liaison between local employees, government agencies, vendors, and foreign management to ensure efficient business operations and compliance with Philippine regulations. Key Responsibilities Human Resources Management * Manage the full employee lifecycle, including recruitment, onboarding, employee movement, and offboarding. * Coordinate interviews and hiring activities with local and foreign management. * Prepare employment contracts, personnel action forms, and HR documentation. * Maintain employee 201 files and HR records. * Monitor attendance, leave administration, and employee disciplinary matters. * Handle employee concerns, grievances, and employee relations issues. * Support performance evaluation and employee development initiatives. Labor Relations & Compliance * Ensure compliance with Philippine labor laws and company policies. * Serve as the primary coordinator during DOLE inspections, audits, and labor-related inquiries. * Maintain mandatory employment records and compliance documentation. * Coordinate implementation and communication of company policies and procedures. * Monitor legal and regulatory updates affecting employment practices. Environmental, Health & Safety (EHS) * Assist management in implementing workplace safety initiatives. Administration & Office Operations * Oversee day-to-day office administration and facilities management. * Manage office supplies, equipment, service providers, and vendor relationships. * Coordinate travel, accommodations, and logistical requirements when necessary. * Prepare internal communications, announcements, and administrative reports. * Ensure proper maintenance of company records. Government & External Relations * Coordinate with government agencies including DOLE, SSS, PhilHealth, Pag-IBIG, BIR, and local government units. * Process and monitor government compliance requirements and submissions. * Assist in permit renewals and regulatory documentation. * Serve as the company’s local point of contact for compliance-related matters. Payroll & Finance Coordination * Prepare and validate payroll-related information. * Monitor employee benefits, statutory contributions, and government remittances. * Process petty cash replenishment, reimbursements, and administrative expense documentation. * Coordinate with accounting and management regarding employee-related financial matters. Reporting & Management Support * Prepare HR, administration, compliance, and operational reports. * Provide recommendations to management regarding employee and administrative matters. * Act as the communication bridge between local employees and foreign management. * Support special projects and operational initiatives as assigned by management. Qualification: Have a prior experience in a supervisory position Can speak Mandarin and English
