Job Summary The Purchasing Admin Manager is responsible for overseeing purchasing administration activities, supporting the procurement process, ensuring accurate documentation, maintaining supplier records, and coordinating with internal stakeholders to meet purchasing and administrative requirements. This role ensures timely purchasing operations, compliance with company policies, and smooth day-to-day purchasing workflows. Key Focuses and Responsibilities: Manage and coordinate end-to-end purchasing administration activities (PO creation, approvals follow-up, documentation, recordkeeping). Support procurement teams with vendor onboarding, supplier documentation, and maintaining supplier master data Verify and ensure completeness of purchase-related documents (quotations, RFQs/RFPs, PO terms, delivery confirmations, invoices). Track purchase requisitions through approvals and ensure timely processing to avoid delays. Maintain purchasing dashboards/reports (open POs, pending approvals, delivery status, spend tracking if required). Coordinate with suppliers and internal teams to resolve issues related to pricing, lead times, delivery schedules, and documentation. Ensure compliance with internal procurement policies, authorization matrix, and budget controls. Handle communication related to purchasing administration, including email correspondence and issue tracking. Assist in audits by maintaining organized files and ensuring traceability of purchase records. Drive process improvements for purchasing administration efficiency and accuracy. Support contract-related administration tasks e.g. renewals, amendments, and documentation control Train/mentor purchasing admin personnel and ensure adherence to SOPs. Job Requirements: Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field (or equivalent experience. Proven experience in purchasing administration, procurement support, or operations (typically 3–7 years ) Strong knowledge of purchasing workflows, PO/invoice processes, and documentation control. Experience working with ERP/accounting/procurement systems (e.g., SAP, Oracle, MS Dynamics, NetSuite, or similar). Proficiency in MS Excel (reports, tracking, data validation) and document management.
