DUTIES AND RESPONSIBILITIES: Receive, acknowledge, and document HR inquiries, concerns, and service requests from employees through approved communication channels. Log all concerns and requests accurately in the prescribed monitoring and tracking tools. Route inquiries and requests to the appropriate HR Specialist or concerned personnel for resolution. Monitor and follow up the status of submitted requests to ensure timely action and closure. Prepare, organize, file, and maintain HR documents in both physical and electronic formats. Ensure completeness, accuracy, confidentiality, and proper safekeeping of employee records and HR-related documents. Perform data encoding and updating of HR information in authorized databases, trackers, and filing systems. Assist in the consolidation and maintenance of HR reports, forms, and records. Provide administrative assistance to HR Head Office Specialists in the implementation of HR programs and activities. Assist in the preparation and processing of standard HR forms, requests, endorsements, and internal correspondences. Coordinate with employees and relevant stakeholders regarding document submission requirements and status updates. Ensure compliance with company policies on records management, confidentiality, and data privacy. Recommend improvements in documentation, tracking processes, and HR service delivery systems. Perform other related duties that may be assigned by the immediate superior from time to time. QUALIFICATION REQUIREMENTS: Bachelor’s degree in Human Resource Management, Business Administration, Office Administration, or related field. 1–2 years of relevant HR or administrative experience preferred; fresh graduates are welcome to apply. Experience in HR, administrative support, customer service, or records management is an advantage. Basic knowledge of HR processes, documentation, and office administration. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook). Strong communication, organization, and time-management skills. Detail-oriented with good record-keeping and documentation skills. Ability to multitask and maintain accuracy under pressure.
