ACCOUNT EXECUTIVE & ACCOUNT ASSISTANT Account Executive Job Responsibilities Manage the company’s full set of accounts, including the general ledger, accounts payable, accounts receivable, journal entries, and bank reconciliations. Review financial records and transactions for accuracy, completeness, and compliance with company policies and accounting standards. Take responsibility for the accurate and timely issuance and submission of e-invoices in accordance with LHDN (IRB) requirements and guidelines. Coordinate with relevant departments to obtain the information and supporting documents required for e-invoice generation and submission. Monitor e-invoice statuses and investigate and resolve any rejected submissions, discrepancies, or related issues. Ensure payment vouchers, invoices, receipts, and other financial transactions are supported by complete documentation and accurately recorded in the accounting system. Prepare and maintain accounting schedules, journal entries, accruals, prepayments, and reconciliations. Maintain and update the Fixed Assets Schedule, including additions, disposals, and depreciation. Perform monthly, quarterly, and year-end account-closing activities accurately for submission to statistics department. Prepare financial statements, management reports, cash-flow reports, and other financial analyses as required. Monitor customer outstanding balances and oversee collection activities. Review supplier invoices, payment schedules, and payment documentation before processing. Prepare and ensure the accurate and timely submission of Sales and Service Tax (SST) and other relevant tax or statutory filings. Ensure compliance with accounting principles, statutory regulations, tax requirements, internal controls, and company policies. Liaise with auditors, tax agents, banks, government authorities, and other external parties on accounting, audit, tax, and compliance matters. Prepare audit schedules and supporting documents to facilitate smooth annual audits and tax submissions. Process or review payroll, employee benefits, and statutory contributions, including EPF, SOCSO, EIS, and PCB, where applicable. Investigate and resolve discrepancies involving account balances, invoices, payments, reconciliations, and financial records. Monitor cash flow, bank balances, and upcoming payment obligations. Support budgeting, forecasting, and financial planning activities when required. Identify opportunities to improve accounting processes, reporting procedures, internal controls, and operational efficiency. Guide and review the work of Accounts Assistants or junior finance team members, where applicable. Perform other ad-hoc accounting, finance, and administrative duties as assigned by management. Requirements Bachelor’s Degree or Diploma in Accounting, Finance, or a related field. At least 3–5 years of relevant working experience in accounting or finance. Strong knowledge and practical experience in handling a full set of accounts. Good understanding of Malaysian e-invoicing requirements and LHDN (IRB) guidelines. Sound knowledge of accounting principles, financial reporting, SST, taxation, payroll, and statutory requirements. Experience with accounting software such as AutoCount or similar systems. Proficiency in Microsoft Excel, including formulas, pivot tables, and financial data analysis. Strong analytical, problem-solving, and decision-making skills. High level of accuracy and attention to detail. Good organisational and time-management skills, with the ability to manage multiple priorities and meet tight deadlines. Strong communication and interpersonal skills, with the ability to liaise effectively with internal and external stakeholders. High level of integrity, confidentiality, responsibility, and professionalism. Able to work independently with minimal supervision and collaborate effectively with the wider team. Proactive, results-oriented, and willing to take ownership of assigned responsibilities. Experience in supervising or guiding junior accounting staff is an added advantage. Account Assistant Job Responsibilities Assist with daily accounting operations, including accounts payable, accounts receivable, and general ledger transactions. Prepare and process invoices, receipts, payment vouchers, debit notes, credit notes, and other accounting documents. Assist in issuing and submitting e-invoices accurately and on time in accordance with LHDN (IRB) requirements and company procedures. Coordinate with relevant departments to obtain the information and supporting documents required for e-invoice processing. Enter financial transactions accurately into the accounting system. Ensure all invoices, payment vouchers, and financial transactions are supported by complete and proper documentation. Assist in monitoring customer accounts and following up on outstanding payments. Verify supplier invoices and prepare supporting documents for payment processing. Perform bank reconciliations and assist with customer and supplier account reconciliations. Maintain proper filing and organisation of invoices, receipts, payment records, bank statements, and other financial documents. Assist in preparing journal entries and supporting schedules for monthly and year-end closing. Update and maintain the Fixed Assets Schedule. Assist in preparing basic financial reports and accounting schedules. Support the preparation and submission of Sales and Service Tax (SST) and other statutory filings. Assist with payroll processing and the preparation of statutory contributions, including EPF, SOCSO, and EIS. Identify and report discrepancies in invoices, payments, account balances, and financial records. Provide supporting documents and information for audits, tax submissions, and other compliance matters. Liaise with customers, suppliers, internal departments, auditors, and other external parties when required. Support the Account Executive and management in improving accounting processes and maintaining internal controls. Perform other ad-hoc accounting and administrative duties as assigned. Requirements Diploma or Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field. Fresh graduates are encouraged to apply. Candidates with 1–2 years of relevant accounting experience will have an added advantage. Basic knowledge of accounting principles, accounts payable, accounts receivable, and bank reconciliation. Basic knowledge of Malaysian e-invoicing requirements is an advantage, but training may be provided. Familiarity with accounting software such as AutoCount or similar software is preferred. Proficiency in Microsoft Excel and other Microsoft Office applications. Good numerical and data-entry skills. Strong attention to detail and accuracy. Good organisational and time-management skills.
