Key responsibilities Team and operational support Support the management of team status sheets, task trackers, calendars and meeting actions Coordinate meeting logistics, including scheduling, agenda preparation, room set-up, note-taking and follow-up actions Help establish and maintain clear central filing, document naming and version-control systems Help maintain a simple supplier and vendor database, including key contacts, service details and contract or renewal dates Support the management of the Foundation’s WhatsApp Business account and ensure messages are responded to or escalated appropriately Prepare short briefing notes and research ahead of meetings with donors, partners, ambassadors and prospective supporters Donor and ambassador engagement Support the team to deliver a high-quality, personal experience for donors, ambassadors, partners and guests Keep track of key dates and personal touchpoints, including birthdays, milestones, thank-yous, event invitations and relevant news Proactively identify opportunities for the Foundation to strengthen relationships through thoughtful and appropriate follow-up Support ambassador management alongside the wider team, including invitations, logistics, schedules, briefing packs and programme visits Assist with donor acknowledgements, contact records, meeting follow-up and timely responses to enquiries Help prepare donor, ambassador and partner materials, including decks, invitations, event information, briefing notes and thank-you communications Events and fundraising Support the planning and delivery of Laureus fundraising events, including guest-list management, RSVP tracking, team and table sales administration, sponsor support, auction or raffle administration, event materials and on-the-day logistics Provide practical support at events, including registration, guest welcome, ambassador liaison, run-sheet coordination and resolving issues calmly on site Support event fundraising sales activity by maintaining prospect lists, researching potential corporate and HNW supporters, preparing outreach materials and tracking follow-up Help build and maintain event trackers, budgets, supplier lists, guest information and post-event follow-up plans Assist with community events, programme visits and partner activations that build Laureus’ profile and connect supporters to impact Sales and partnership support Research prospective corporate partners, donors, event guests and community contacts Keep prospect and sales pipelines up to date, with clear next actions and ownership Support the preparation of pitch decks, partnership proposals, meeting briefs and follow-up materials Help ensure prospective supporters receive timely, professional and well-organised communication Identify useful introductions, partnership opportunities and event audiences through research and ongoing market awareness What we’re looking for Essential A forward-thinking, positive, practical person with a can-do attitude Comfortable working across different tasks and changing priorities in a small, fast-moving team Strong written and verbal communication skills in English Excellent organisation, attention to detail and follow-through Familiarity with Hong Kong’s community, sport, charity landscape Confidence to identify potential issues early and suggest workable solutions Strong interpersonal skills and confidence dealing professionally with senior stakeholders, donors, partners and ambassadors Willingness to support occasional evening and weekend events Interest in sport, youth development, social impact, events, fundraising or communications Excellent eye for detail Highly desirable Strong Cantonese language and writing skills Experience on Canva- with basic design capability Experience in sport, youth development, social impact, events, fundraising or communications Desirable Social media content creation or community management experience
