Job Purpose The Data Entry Manager is responsible for leading and managing the Data Entry and Data Administration functions to ensure accurate, timely, and compliant processing of operational data across the distribution center. This role drives operational excellence through process optimization, resource planning, performance management, and digital transformation initiatives while supporting business objectives and delivering high-quality service to internal and external stakeholders. Key Responsibilities 1. Operational Management Lead and manage the overall Data Entry function to ensure operational excellence and alignment with business objectives. Ensure all operational data and related documentation are processed accurately, completely, and within agreed Service Level Agreements (SLAs) and lead times. Oversee the preparation, validation, and issuance of operational documents, including invoices, manifests, proof of delivery (POD), and other logistics-related documentation. Establish and maintain effective document control processes for both electronic and physical records in accordance with company policies and regulatory requirements. Provide operational reporting and data analysis to support business decision-making. 2. Quality, Compliance & Governance Establish and maintain Data Quality standards to ensure high levels of accuracy and integrity across all data entry activities. Lead internal audit processes to monitor compliance, identify risks, and implement corrective and preventive actions. Ensure compliance with company policies, customer requirements, and operational standards. Drive continuous improvements to strengthen governance and minimize operational risks. 3. Process Excellence & Digital Transformation Lead Continuous Improvement initiatives to enhance productivity, quality, and operational efficiency. Analyze and redesign business processes through process mapping, workflow optimization, and standardization. Maximize the utilization of Warehouse Management Systems (WMS) and other digital technologies to improve operational performance. Collaborate with IT, WMS Super Users, and cross-functional teams to implement system enhancements and automation initiatives. 4. Resource & Financial Management Develop workforce planning strategies to ensure appropriate staffing levels based on operational demand. Manage labor costs, overtime, and departmental operating expenses within approved budgets. Monitor productivity, resource utilization, and capacity planning to optimize operational efficiency. Establish performance metrics and reporting mechanisms to support data-driven decision-making. 5. Leadership & People Development Provide leadership, coaching, and performance management to build a high-performing and engaged team. Develop and monitor individual and departmental Key Performance Indicators (KPIs). Ensure employees receive appropriate training in accordance with the established Training Matrix, including onboarding and continuous development programs. Identify and develop high-potential employees through succession planning and talent development initiatives. Foster a culture of accountability, collaboration, continuous learning, and operational excellence. 6. Stakeholder & Customer Management Build strong working relationships with Operations, Customers, Suppliers, Transport Providers, and other key stakeholders. Serve as the primary escalation point for issues relating to Data Entry operations and customer service. Ensure timely communication of operational updates, business changes, and service-related information to relevant stakeholders.
