Aotea College is seeking a proactive, adaptable, detail-oriented Payroll and Admin Support Officer to join our team. In this role, you won't just process data -you’ll ensure our people are cared for, our records are accurate, and our operational leadership has the clear data they need to make smart decisions. The Role at a Glance This is a part-time, term-time-only position 25 hours per week, five days a week. Some additional hours during the holidays are required, but with the flexibility to work from home. This role could suit someone looking to balance work with family or other commitments. Key Responsibilities Payroll Ownership : Lead end-to-end payroll processing with absolute precision, compliance, and confidentiality. Financial Administration: Manage payroll-related accounting tasks Process & System Improvement: Keep your eye on the big picture by identifying operational bottlenecks, streamlining workflows, and improving time/payroll integration. Employee Liaison: Serve as the go-to, trusted resource for staff inquiries regarding pay, benefits, and working hours, delivering clear and empathetic communication. Operational Support: Coordinate police vetting, manage staff access, assist with fundraising and grant applications, and support major school events and enrolments. What Makes You a Great Fit Detail-Obsessed and Big-Picture Drive: You catch the symptom before it becomes a problem, but you also understand how a school payroll system can require tenacity and perseverance. Proven experience: Direct, hands-on experience in full-cycle payroll administration, basic financial accounting/reconciliation. Familiarity with EdPay, Payroll Toolkit, Xero and school management systems is advantageous, but a fast learning mindset in a busy office is key! Exceptionally Organised: You manage multiple timelines, compliance deadlines, and cross-functional requests without missing a beat Strong Communicator: You easily bridge the gap between payroll jargon and everyday queries, maintain positive relationships across all areas Problem Solver: You don't just flag an issue; you trace it back to the root of the cause and come up with an effective fix.
